POSITION SUMMARY
The Documents Management Medical Assistant plays a critical role in supporting clinical efficiency and patient satisfaction by managing the flow of clinical documentation, messages, and refill requests in the electronic health record (EHR). This role ensures timely triage, assignment, and resolution of provider desktop items—freeing up provider time and enabling faster response to patient needs. The MA collaborates with clinical and administrative staff to maintain accurate records, respond to patient inquiries, and streamline care delivery. This position directly contributes to patient-centered care, provider satisfaction, and improved communication across the care team.
GENERAL EDUCATION REQUIREMENTS
High School Diploma or GED required Graduation from an accredited Medical Assistant program (CCMA or RMA), or 2 years’ experience as an MA At least 1 year of experience in a medical office, health center, or outpatient clinical setting required
ADDITIONAL QUALIFICATIONS
Excellent written and verbal communication skills Demonstrated ability to multitask, prioritize, and manage time-sensitive requests Proficiency in navigating EHR platforms; experience with eClinicalWorks strongly preferred Familiarity with medical terminology, documentation workflows, and refill request processes Strong organizational skills and attention to detail Basic understanding of HIPAA regulations and patient confidentiality Proficiency in Microsoft Office (Word, Outlook, Excel) Bilingual language skills a plus
PRIMARY ACCOUNTABILITIES
Review and address within scope any incoming documents (labs, consults, imaging, external records) within the EHR; if outside of MA scope, route to the appropriate care team member, ensuring turnaround within 24-48 hours Triage and process patient refill requests according to established protocols, typically within 1 business day Monitor and assist with the resolution of provider desktop items, including telephone encounters, patient messages, and refill requests Ensure timely documentation and accurate categorization of all received records and communications Support reduction of provider burden by handling routine messages, document intake, and follow-up needs without unnecessary provider interruption Communicate with patients via phone and/or EHR portal to provide updates, confirm care plans, or relay provider instructions Collaborate with clinical and administrative teams to escalate priority concerns and facilitate same-day resolution where needed Maintain clear documentation of all communication, triage actions, and completed tasks in the patient record Participate in team huddles and staff meetings to support consistent workflows and cross-site alignment Uphold a high level of professionalism and customer service in all patient and provider interactions
