Summary Position Summary:
The Clinical Assistant supports the Clinical and Regional Directors by ensuring timely completion and organization of clinical documentation, including Treatment Plan reviews and Comprehensive Assessments. This position plays a vital role in maintaining compliance with internal standards and external regulatory requirements such as DJJ (Department of Juvenile Justice) guidelines. —
Key Responsibilities:
- Document Tracking & Management o Maintain up-to-date tracking of due dates for clinical documents including but not limited to Treatment Plan reviews, Comprehensive Assessments, and Progress Notes.
o Notify and follow up with clinicians regarding upcoming or overdue documentation deadlines. o Ensure all required documents are collected from therapists and appropriately filed in client charts (electronic and/or physical).
- Compliance & Quality Assurance o Assist Clinical and Regional Directors with periodic chart reviews to ensure accuracy, completeness, and compliance with agency and DJJ standards.
o Support preparation efforts for internal and external audits by organizing, reviewing, and correcting documentation. o Respond to special documentation and reporting requests from DJJ or other regulatory bodies as directed.
- Administrative & Clinical Support o Serve as a liaison between the clinical team and administrative leadership to streamline communication related to documentation requirements.
o Assist with data entry, scanning, filing, and organizing of clinical records. o Attend meetings as needed to support audit readiness and process improvements. —
Qualifications:
- High School Diploma or equivalent required; Associate’s Degree or higher in a healthcare or behavioral health-related field preferred.
- Experience working in a clinical, behavioral health, or administrative setting.
- Strong organizational skills with attention to detail and the ability to manage multiple deadlines.
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and ability to work collaboratively with clinicians and administrative staff.

Working Conditions:
- Standard office hours with occasional flexibility based on clinical or audit needs.
- Primarily office-based with potential for occasional local travel.
- Requires extended periods of computer and desk work.
