Full Job Description Position Summary:
The front desk plays a vital role as the first point of contact for clients, visitors, and employees. It sets the tone for the organization and reflects our commitment to professionalism and quality.
Duties/Responsibilities:
Maintain Cleanliness:
Ensure the reception area is clean, organized, and dust-free to leave a positive impression on visitors.
Advance Preparation:
Prepare for the next day’s front desk duties the day before to ensure smooth operations and professionalism.
Confirm Appointments:
Confirm all appointments for the next day, add necessary notes, and communicate updates with the team to stay aligned.
New Subject Appointments:
Provide appointment links via Doctor Connect and confirm with subjects through text. If required, ensure they are informed about necessary documents (e.g., caregiver, medical records, medications, ID).
Doctor Connect:
Review Doctor Connect first thing each morning to ensure forms are completed by subjects and print them in advance. Follow-Up on
Confirmations:
Ensure all appointments are confirmed, following up with any subjects who haven’t responded.
Schedule Changes:
Notify the team about any last-minute schedule changes so everyone has time to adjust tasks. Timely communication is essential.
Updated Schedule Distribution:
Print and distribute the updated schedule every morning to applicable clinical staff, laboratory department, and the Clinical Operations Manager.
Education and Experience:
Candidates must be able to work 7:45AM-4:15PM, Monday-Friday. Fluent in spoken and written Spanish and English. Must have experience in customer service. Medical Assistant or Phlebotomy certification preferred. Experience in clinical research preferred.
