We specialize in medication management, therapy, TMS, Spravato and Wellness. We pride ourselves on patient centered care and providing our clients with great customer service and a wonderful experience which starts with the Front Desk and Back Desk. The Medical Assistant is the clients first point of contact. Providing exceptional customer service is mandatory. The Medical Assistant be skilled in triage of phone calls, checking in and out the clients/patients and collecting necessary copay, past due, or coinsurance amounts. The Medical Assistant will provide administrative support to the office, therapist, and providers. This will include triage of messages and calls, pulling Eforce Reports, preparing schedule for next day work, obtaining and entering gene sight that is ordered, lab work, scheduling needs, office upkeep, and monitoring of supplies and medication. The Medical Assistant will need to be able to triage of phone calls including new patient calls, copay questions, medication refill requests, appointment questions and vendor calls. The Medical Assistant will also need to be able to perform, with training, Spravato observation and TMS treatments under the supervision of the medical provider this includes needing to have knowledge and ability to document, measure and follow specific directions. Job Duties
- Greet and welcome guests and clients in a friendly and professional manner
- Keep the office well stocked and appearing welcoming
- Answer incoming calls, communicate on internal message system, make outgoing calls.
- Check in and out all Tele and In-Person patients during office hours
- Collect all copays, coinsurance from patients seen by in person or tele-health and use verification system to verify copays and coinsurance
- Create Payment plan with the help of the practice manager and enroll patients in into Sliding Scale reduced fee per internal protocol.
- Maintain a tidy and organized front desk area and work area
- Handle customer inquiries and provide accurate information including account information and client questions
- Answer pharmacy and vender questions within scope and route when appropriate.
- Assist providers and therapist with questions, concerns or outreach to their patients
- Modify appointments, move appointments, and schedule new and follow up appointments
- collect accurate insurance and billing information, collect and update correct patient forms
- Utilize computerized systems for tasks such as booking appointments or processing payments
- Enter End of Day reports as requested.
- Use the medical record proficently and phone system proficently without error
- Attend Front Desk Meetings
- Collaborate with other team members to ensure smooth operations
- Obtain blood pressures and vital signs and record
- Administer Spravato Treatments
- Administer IM injections
- Administer TMS treatments. Needed Skills
- Proficiency in using office equipment and computerized systems
- Strong time management and organizational skills
- Experience in a front desk or customer support role
- Knowledge of medical receptionist
- Knowledge in billing, insurance, collecting patient payments
- Excellent phone etiquette and communication skills
- Ability to multitask effectively in a fast-paced environment
