Full Job Description Job Summary:

The ABA Administrative Assistant is responsible for providing comprehensive administrative support to the Applied Behavior Analysis (ABA) therapy team. This role ensures efficient operation of the ABA Clinic by managing office tasks, coordinating schedules, handling communication, and maintaining records. The ideal candidate will be detail-oriented, flexible, highly organized, and capable of managing multiple tasks in a fast-paced environment.

Key Responsibilities:
Office:

Maintain office supplies inventory and create lists for re-ordering. Ensure a clean and organized office environment. Coordinate maintenance of office equipment.

Communication:

Answer and direct phone calls in a polite and friendly manner. Handle email correspondence, sort and distribute incoming mail. Greet visitors and direct them to appropriate personnel. Act as a liaison between clients, therapists, and administrative staff.

Administrative Support:

Schedule and coordinate appointments, meetings, and therapy sessions. Prepare and edit documents, reports, and presentations. Assist in the preparation of regularly scheduled reports. Develop and maintain a filing system, both physical and electronic.

Data Management:

Enter and update client data accurately in databases and spreadsheets. Maintain client contact lists and manage calendars. Handle confidential information with discretion. Assist with insurance authorizations, billing, and tracking of therapy hours.

Client and Staff Support:

Assist with the intake process for new clients, including gathering necessary documentation. Coordinate communication between therapists and clients’ families. Provide support to ABA therapists with administrative tasks as needed. Assist in the organization and execution of ABA-related events and training sessions.

Qualifications:
Education:

High school diploma or equivalent; college degree preferred.

Experience:

Proven experience as an administrative assistant, preferably in a healthcare or educational setting. Familiarity with ABA therapy practices and terminology is a plus.

Skills:

Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular). Excellent written and verbal communication skills. Strong organizational and time management skills. Ability to prioritize tasks and multitask effectively. Attention to detail and problem-solving skills. Professional demeanor and strong interpersonal skills. Ability to work independently and as part of a team. Experience with electronic health record (EHR) systems is a plus.
