This role will focus primarily on billing assistance and paperwork coordination, while also providing direct support to the Patient Coordinator with day-to-day administrative tasks. The ideal candidate will be detail-oriented, communicative, and comfortable juggling multiple responsibilities in a fast-paced, remote environment.

Key Responsibilities:

Billing & Documentation Support Assist with billing processes and follow-ups. Ensure annual paperwork and documentation are current and accurately filed. Coordinate with clients to collect required billing and insurance information. Other administrative duties as assigned. Client Coordination Monitor the schedule to ensure all client paperwork is up-to-date. Help track and follow up on pending client documentation. Communicate with clients professionally and promptly to gather missing paperwork. Team & Caseload Support Assist with reviewing and maintaining clinician caseloads. Support nurse practitioner scheduling as needed. Collaborate with the Patient Coordinator and clinicians to manage the documentation reminder system. Collaborating with the Patient Coordinator, other administrative staff, and clinicians to ensure smooth and efficient operations. Coverage & Backup Serve as primary coverage for the Patient Coordinator during time off or vacations.

Qualifications:

Strong organizational and time-management skills. Excellent written and verbal communication abilities. Comfortable working independently and collaboratively in a remote environment. Prior experience in healthcare administration, billing, or client services is a plus. Proficiency in Google Drive. Experience with Simple Practice, Spruce, or other medical software is highly preferred. Experience handling confidential client data and familiarity with HIPAA compliance is preferred and strongly valued.
