Job Description Position Overview:
The Administrative Assistant will support the Clinical Director in daily operations, scheduling, documentation management, and communication with staff and clients. This role ensures efficiency, organization, and seamless workflow within the agency.
Key Responsibilities:
Scheduling & Coordination:
Manage the Clinical Director’s calendar, book meetings, coordinate staff training sessions, and arrange appointments with clients.
Documentation & Compliance:
Maintain clinical files, ensure accuracy of reports, update records, and support compliance with ABA regulations.
Communication & Support:
Serve as the primary point of contact for internal and external inquiries, relay messages, and draft emails or memos on behalf of the Clinical Director.
Billing & Payroll Assistance:
Assist with processing invoices, staff reimbursements, and tracking payroll documents.
Project Assistance:
Support the Clinical Director in special projects, research initiatives, and presentation preparation.
Office Management:
Handle supply orders, maintain organized workspaces, and oversee administrative operations to enhance efficiency.
Required Skills & Qualifications:
Strong organizational and time-management skills Experience in healthcare or ABA administrative roles preferred Proficiency in office software (Microsoft Office, scheduling tools, and data management systems) Excellent written and verbal communication skills Detail-oriented with the ability to multitask Understanding of HIPAA regulations and ABA compliance requirements
