Our team includes medical specialists in mood and pain disorders, addition, psychiatry, anesthesiology, and pain management, as well as leading researchers and practitioners in ketamine and other psychedelic therapies. We are seeking a detail-oriented Medical Administrative Assistant to join our healthcare team. The ideal candidate will provide administrative support in a medical setting, ensuring smooth operations and excellent patient service. The ideal candidate is an individual capable of multitasking, compassionate and passionate about doing work for patients that benefit from Ketamine and Spravato to treat mental health. Experience working with dealing with commercial insurance is preferable. Experience with Spravato is a big plus.
Duties:
Provides administrative support to ensure efficient operation of the clinic. Answers phone calls, schedules patients for specific treatments, resolves their questions, prepares documents for billing, and supports patients and visitors. Place calls to the insurance companies to verify the patient’s benefits eligibility, and verification of insurance. Carries out administrative duties such as documenting, filing, typing, copying, binding, scanning etc. Interview patients and record their medical history. Measure patients’ vital signs, such as their blood pressure and weight. Help physicians with patient examinations. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies. Contributes to team effort by accomplishing related results as needed. Greet patients and visitors in a professional and friendly manner Manage medical records and patient information confidentially Assist with billing and insurance claims processing Exhibits polite and professional communication via phone, e-mail, and mail. Supports the team by performing tasks related to organization and strong communication. Provides information by answering questions and requests via email, phone or in person. Coordinate communication between healthcare providers, patients, and insurance companies Ensure compliance with medical office regulations and standards P/T position for 3 days during the week. Monday, Tuesday and Thursday.
Administrative Assistant Skills and Qualifications:
Reporting Skills Familiarity with systems such as Electronic Health Records (EHR) Administrative Writing Skills Microsoft Office Skills Managing Processes Organization Analyzing and providing accurate Information Professionalism Problem Solving Supply Management Inventory Control Verbal Communication Experience working in a Medical Office Education and Experience Requirements High school diploma or equivalent education required Desire to work at a psychedelic medicine practice.
