Full Job Description Position Summary:
The Office Manager is a pivotal role supporting the daily operations and administrative needs of the organization. This individual will oversee and coordinate administrative support across multiple locations, ensuring seamless operations, compliance, and a welcoming environment for staff and visitors. The ideal candidate is highly organized, adept at managing priorities, and committed to the mission of serving diverse and underserved communities.
Responsibilities:
Maintain a well‑organized and safe office environment across all sites Provide oversight and support for front office staff, including lunch and break coverage as needed Manage supply and equipment orders and inventory ensuring efficiency and fiscal responsibility Manage company vendor selection and vendor relationships and ensure quality services for the company Sort and distribute confidential mail appropriately including sensitive correspondence and incoming payments Approve purchases and review invoices for payment Ensure office common areas are clean and well‑maintained Maintain and implement administrative policies and procedures in coordination with supervisor Serve as primary point of contact for facilities and IT needs Coordinate internal and external meetings, appointments, and events; including catering, equipment setup, and other logistics Assist in preparation of reports, documents, and presentations as needed by management staff Ability to manage board communications and funder communications appropriately Maintain accurate records and files (both physical and digital) Serve as point of contact for phone and EHR systems, including facilitating training and addressing technical issues Support internal staff with administrative requests and inquiries Assist in onboarding new staff and volunteers, including setup of workspace, badges, keys, and equipment Maintain training logs, support staff with mandatory trainings, license renewals, etc. Manage internal communications across departments and locations Maintain compliance with state, federal, and organizational policies and protocols Assist with internal audits and record‑keeping Occasionally travel to other local offices, banks, and the post office as required Perform other related duties as assigned
Qualifications:
Associate’s degree or higher preferred; equivalent experience may be considered At least 3 years of experience in office administration or operations, preferably in a non‑profit health care setting Tech Savy with strong proficiency in Microsoft Office Suite and office equipment Excellent communication and interpersonal skills Strong organizational abilities and attention to detail Ability to manage multiple priorities and adapt to changing needs Notary Public designation and/or willingness to obtain designation At Apex Community Care, we value diversity and the uniqueness of all people.
