We are seeking an experienced Medical Office Manager for a multi-specialty medical office. The Manager is responsible for the smooth flow of daily operations, including implementation and compliance with policies, protocols, workflows, hiring, and disciplines. This position reports to the CEO and COO. In order to be successful in this role you must: Be an effective and professional communicator both verbally and in writing Have a “command and conquer” attitude Proactively identify issues before they become problems, be a problem solver Be a problem solver, solve problems in a timely manner Monitor for compliance and process improvement Maintain a professional presentation in both manner and appearance Provide leadership and training for clinical and clinical support staff Manages personnel assignments, addresses staff issues, manage staff hours and time-off requests Assist in the hiring of new personnel Cultivate a positive attitude with all clinical, patient services and billing staff that results in a friendly, productive environment Ensure clinical and clinical support staff make patients and phone callers feel welcome through warm, genuine greeting and attentiveness to patient needs Work to improve the relationship between all office staff by resolving issues quickly, diplomatically and deliver disciplinary measures fairly and in a timely manner Maintains a system to mentor and educate clinical and non-clinical staff to include new hires and existing staff along with maintaining proper documentation of same Review clinical equipment and billing invoices for accuracy and delivery routinely price check clinical supplies to verify current contract pricing Provide assistance as needed in all areas Ensure staff maintains medical exam rooms as being fully stocked, organized, clean and disinfected Ensure clinic staff handle the distribution of progress notes to referring physicians, workers compensation carriers, vocational rehab, central billing office, etc. Oversee Clinical Supply ordering and inventory to ensure adequate stock Oversee doctor credentialing, contracting, licensure and maintenance of certification Plan, prepare, oversee staff meetings Other duties as assigned Job Requirements Medical Office Manager 3 years hands on experience in medical clinic management Clinical background preferred
QUALIFICATIONS
Organized with attention to detail and ability to work well under pressure 3+ years of related experience in a healthcare organization and/or medical supervisory experience 3+ years of proven success in leadership roles is required Analytical thinking skills and the ability to exercise sound judgement when making decisions Customer service oriented and able to liaise with patients, their families and other care providers at any moment Ability to prepare routine reports and correspondence Computer and computer application skills sufficient to accurately and efficiently use practice management system, databases, spreadsheets, email and word processing software Ability to identify and handle difficult, emotional or confrontational situations in a calm, consistent and equitable manner Ability to manage and motivate others in a team environment and delegate appropriately High School Diploma or GED required; Associate or Bachelor Degree preferred
