Hillway Circle, Naples, FL 34112 Summary This full-time position is for an Office Manager in a Rheumatology practice in Naples, reporting to two Physicians. The Office Manager is responsible for overseeing daily operations, including supervising staff, managing accounts payable and receivable, payroll, and ensuring compliance with policies and procedures. Key responsibilities include providing leadership to staff, optimizing operational processes, managing the practice’s budget, and overseeing accounts receivable and payable. The Office Manager will also handle payer relationship management, monthly reconciliations, performance metrics, process improvement, workflow optimization, hiring and staff development. Additional duties involve overseeing new patient integration, HR functions, issue resolution, regulatory compliance, emergency response protocols, and maintaining privacy and confidentiality. The role requires experience with electronic health records (Next Gen preferred), knowledge of medical terminology, insurance practices, CPT/ICD-10 coding, and strong communication and organizational skills.

Responsibilities:
Leadership & Team Management:

Provide daily leadership and support to management and staff, fostering a collaborative and high-performance environment.

Operational Excellence:

Standardize and optimize operational processes to align with industry best practices, ensuring a smooth and effective practice operation.

Financial Oversight:

Manage the practice’s budget, including expenditures and staff overtime, while ensuring financial accountability and adherence to budgetary constraints.

Management of Account Receivable and Accounts Payable:

Responsible for the direct oversight of accounts receivable related to operational expenses including but not limited to the purchasing or medication inventory totaling $1M per month. Coordinating with external resources to ensure timely payment and refunds when necessary while maintaining enough inventory at hand to service scheduled patients. Understanding of

requirements: able to provide Billing supervisor, front office operations and providers with billing guidance and oversight to ensure compliance. Experience with Electronic Health Records, Next Gen preferred.

Payer Relationship Management:

Work with external stakeholders to ensure Managed Care contract compliance, including but not limited to ensuring 5 providers are up to date with CEU’s, licensing and all other state requirements on a yearly basis.

Monthly reconciliations:

Work with external organization stake holders to reconcile insurance and patient payments monthly.

Performance Metrics:

Oversee key performance indicators (KPIs) and prepare comprehensive reports on patient lists, provider panels, financial performance, and other critical metrics.

Metric Reviews:

Conduct monthly reviews of hospital admissions, readmissions, medical expenses, membership growth, and patient care quality to drive continuous improvement.

Process Improvement:

Develop and implement strategies to enhance office performance, reduce patient cancellations, minimize staff turnover, and optimize resource utilization.

Workflow Optimization:

Collaborate with providers and managers to streamline office workflows and ensure efficient patient and staff interactions.

Staff Development:

Conduct regular coaching sessions and annual performance reviews with direct reports to support professional growth and performance.

Compliance & Policy:

Uphold company standards on office management, compliance, and technology, ensuring adherence to regulatory requirements and internal policies.

Patient Integration:

Oversee new patient processes including, portal registrations, paperwork management, and referral coordination.

Human Resources:

HR duties including hiring, scheduling, payroll, and staff timesheets.

Issue Resolution:

Address and resolve patient, staff, and provider concerns promptly, escalating issues as necessary.

Regulatory Compliance:

Ensure the practice is prepared for regulatory inspections and audits, including OSHA, CLIA, DOH and other assessments.

Emergency Response:

Collaborate with management on emergency response protocols and practice readiness. Management of medication inventory during state emergency responses to ensure medication viability.

Privacy & Confidentiality:

Maintain client and employee privacy in accordance with company policies and HIPAA regulations.

Training & Meetings:

Work with internal and external stakeholders to ensure the completion of the yearly training sessions required and meetings to stay updated on best practices and regulatory changes.

Qualifications:

Outstanding interpersonal skills , accountability and emotional IQ required Knowledge of clinic policies and procedures. Knowledge of medical terminology and insurance practices. Extensive medical billing knowledge in charge entry, prior authorizations (including biologic drugs) and A/R follow-up. Knowledge of CPT and ICD-9 coding (ICD-10 per document). Knowledge of managed care, Medicare and Medicaid guidelines. Experience with Electronic Health Records, Next Gen preferred. Strong understanding of

requirements. Proficiency in MS Office – Excel, Word, PowerPoint.

Education and Experience:

Bachelor’s Degree preferred but not required. Certification from an accredited education institution in medical office or medical assistant training. At least 3 years’ experience in a community-based medical practice as an office manager

Job Type:
Full-time Pay:

$35.00 – $40.00 per hour Expected hours: 36 – 40 per week
