We are on a mission to bring compassionate, high-quality pelvic health services to our community—and we’re expanding. In addition to clinical services, we lead Integrative Somatic Healing Institute , an educational company that offers online and in-person continuing education courses for pelvic health therapists, massage therapists, and other healthcare providers. Our goal is to grow both arms of the business, and we’re looking for a Practice Manager who can help lead that charge. Role Overview This is a hybrid role combining virtual operations management , local relationship-building , and growth support for our online education offerings . You’ll be the strategic and logistical engine behind our clinic and education platform—managing systems, supporting staff, nurturing referral sources, and helping expand our impact through trainings and online offerings.

What You’ll Do:

1. Virtual Operations (80%)

Patient Care & Management:
  • Organize and manage the CEO’s schedule, including appointments, interviews, and trainings, ensuring effective time management
  • Handle patient reminders and appointment confirmations, utilizing the Square website/application for optimal scheduling and attendance.
  • Handle patient inquiries, complaints, and issues in a professional and timely manner.
  • Keep MD offices updated on patient care and relevant practice developments.
  • Efficiently manage all email communications for the practice.
  • Oversee general day-to-day administrative tasks such as sending faxes, mailing letters, reporting, maintaining a daily task log, and managing documents and records.

Manage scheduling flow, waitlists, and calendar optimization Track key business metrics (visits/week, conversion rates, referrals) Oversee front desk functions (calls, email inquiries, billing oversight) Coordinate hiring/onboarding of new clinicians or admin team Organize digital assets for marketing, patient education, and community outreach Assist in managing website updates, newsletters, and social media content coordination Monitor and manage practice software (e.g., Jane App or EMR systems) 2. In-Person Community Engagement (20%) Build & maintain relationships with key referral sources Deliver branded materials, coordinate lunch-and-learns, and support events Build and nurture a network of strategic community partners Attend & facilitate in-person team meetings or workshops at the office (about 1x/month) 3. Growth Duties

  • Integrative Somatic Healing (Education Platform) Support course launches: manage enrollment flows, customer service, and tech setup (Kajabi, Zoom, etc.

) Track and report on course sales, email list growth, and engagement metrics Coordinate with the founder and creative team to plan marketing campaigns and track performance Help maintain course content library, update assets, and implement automations Support affiliate/influencer outreach and partnerships to increase program visibility Manage customer service inbox and follow-ups related to course questions, registration, and experience Assist with event logistics for in-person trainings and retreats What We’re Looking For Experience in healthcare admin, office management, or client service (3+ years preferred) Excellent communicator—comfortable on Zoom, phone, and in person Highly organized with a natural systems mindset Comfortable using EMR, CRM, or project management tools (e.g. Jane App, Notion, Google Workspace, Kajabi, Airtable, etc.) Marketing coordination or event support experience preferred

Background in women’s health, birth work, or somatic/trauma-informed modalities

Compensation & Benefits Starting Pay:

$20

  • 27/hour based on experience
Initial Schedule:
