Dental Practice Scheduling Coordinator Job Description:
The Dental Practice Scheduling Coordinator is responsible for managing the daily appointment schedule for multiple providers, ensuring optimal patient flow and effective time management. You’ll be the first point of contact for many of our patients and will help set the tone for their overall experience with our practice.
Key Responsibilities:
Greet patients warmly and professionally in person and on the phone. Schedule, confirm, and adjust appointments for dental procedures and cleanings. Maximize schedule efficiency and provider productivity. Manage and optimize recall systems for routine patient visits. Coordinate with clinical staff to minimize gaps and delays in the schedule. Communicate effectively with patients about appointment times, insurance, and treatment needs. Communicate effectively and support additional Business Team members. Monitor cancellations and reschedule as needed. Maintain accurate patient records in practice management software. Handle patient inquiries and provide exceptional customer service. Document all conversations, plans, and financial agreements in patient records. Work closely with dentists, hygienists, and administrative staff to ensure continuity of care. Maintain confidentiality and ensure HIPAA compliance.
Patient Account Management:
Maintain accurate patient financial records and ensure confidentiality. Communicate with patients regarding their accounts, payment options, and financial assistance programs.
Team Collaboration:
Work closely with the dental team to coordinate and ensure a seamless patient experience. Train and support staff in financial policies and procedures.
Compliance and Regulations:
Ensure adherence to dental practice regulations and financial compliance standards. Stay updated on changes in billing and insurance practices.

Qualifications and Requirements:
3 years Dental Front Office Experience is a MUST. High energy, self-motivated, interested in learning and growing in the position. Proficient in dental software and billing systems (e.g., Dentrix, Eaglesoft). Ability to handle sensitive information with confidentiality. Ability to Use Microsoft Suite; Excel and Google spreadsheets. Team Player with strong verbal and written communication skills. Knows how to create a 5 star patient experience every time. Focused on a vision of providing an unprecedented level of care to patients. Building patient rapport. Committed to thinking outside the box to give patients an exceptional experience every time. An outgoing, social person with a heart to help patients. Creativity with attention to detail. Self-motivated and hard working. Not afraid to take initiative.
