JOB DESCRIPTION

We are seeking a highly organized and detail-oriented Medical Office Manager to direct day-to-day specifics of a busy pediatric medical office. This role is responsible for overseeing every non-clinical aspect of the organization. The ideal candidate is required to have experience in medical office management, possess a strong understanding of medical terminology and be well-versed in medical office software, comprehend the billing processes (our billing is outsourced) such as posting, dealing with medical insurance companies and medical clearinghouses. They must be able to generate and understand profit/loss statements and balance sheets, budgeting, management of payroll, accounts payable as well as addressing the needs and requirements of a staff of 14 and the myriad needs of our patients and their parents and do so with empathy and care.

DUTIES:
  • Manage front office personnel and be well-versed in patient registration, scheduling, and check-in.
  • Oversee timely submissions of insurance claims, accuracy of eligibility, and data entry
  • Manage all aspects of HR with expert communication skills and effective management
  • Manage and coordinate scheduling for medical staff, including physicians, nurses and administrative personnel.
  • Maintain a high level of patient satisfaction by ensuring that all patient interactions are handled professionally, empathetically, warmly and efficiently.
  • Monitor and manage the office budget ensuring that expenses are tracked and kept within budget and financial management goals are met. Handle Accounts Payable, bank deposits and assist with Analysis and Reports.
  • Ensure compliance with OSHA, and other regulatory standards, healthcare regulations, privacy laws.
  • Ensure that the clinic and work environment is kept organized and clean
  • Assist in compliance with credentialling for providers
  • Ordering of supplies and tracking delivery of same.
  • Collaborate with medical and administrative teams to improve workflows and optimize patient care
QUALIFICATIONS
  • Bachelor’s degree or education/experience in healthcare administration, business administration, business management or related field (preferred)
  • Minimum 3 years experience in medical office management or similar role
  • Strong leadership and organizational skills with attention to detail.
  • Proficiency in medical office software and EHR systems.
  • Knowledge of insurance processes and medical billing codes
  • Excellent interpersonal and communication skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Familiar with Medicaid (a plus)
  • Nursing abilities (a plus)
  • Bilingual Spanish-English (a plus)
