December 2024 POSITION SUMMARY The primary responsibility of the Practice Manager is to manage and coordinate office operations and activities in pediatric medical practice. The practice consists of providers delivering care to the pediatric community. The manager is expected to ensure seamless operations with a highly engaged team delivering excellent care to our patients.

DUTIES AND RESPONSIBILITIES
Staffing Responsibilities:

Participates in the hiring, interviewing, and training staff as needed. Conducts staff performance reviews in accordance with company guidelines. Documents and manages disciplinary actions or corrective write-ups including tardiness or last-minute call outs following company policies. Ensures adequate coverage for all positions. Supervises staff relations to ensure compliance with company policies regarding behavior and appearance. Maintains up-to-date employee information such as addresses, telephone numbers, emergency contacts. Coordinates annual training for OSHA, HIPAA, BLS, and other required programs. Documents incident reports and needle stick injuries per established OSHA protocol. Supervises, motivates, and develops office staff.

Administrative Responsibilities:

Ensures all phone calls, voicemails, and patient grievances are answered in a timely manner. (Document complaints and resolution in ECW under Patient Notes and communicate with Lead Physician). Monitors that provider schedules, staff schedules, and appointments are coordinated effectively. Collaborates with providers and staff to enhance patient care. Conducts monthly team meetings. Orders and maintains office supplies and inventory. Maintains the AHCA Binder updated. Maintains a record of professional licenses and ensures compliance and active status. Keepa track of all staff members who have keys to the facility. Assists with duties as needed including answering phones to ensure efficient workflow. Facility Responsibilities:

Maintains a clean and safe work environment. Reports via email to the Regional Practice Manager all facility repair and maintenance needs.

Requirements:
QUALIFICATIONS/REQUIREMENTS

Bachelor’s degree preferred and may be considered in lieu of work experience. Minimum 1 years’ experience in office management. Healthcare setting, preferred. Excellent verbal and written communication skills. Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow. Passion for caring for children. Ability to work independently and as a member of various teams and committees. Acute attention to detail. Ability to deal effectively with a diverse group of individuals at all organizational levels. Good judgement with the ability to make timely and sound decisions. Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm. Computer knowledge and experience (Word, excel, electronic medical records, etc.) is a requirement. Ability to be self-directed and a self-starter. Highly strategic, creative and process oriented.

This job operates in a professional medical office environment. This job also operates in a fast paced, highly customer service environment, working with children and family/guardians. POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position expected to work 40 hours per week. The office hours are Monday through Friday, varying from 7am to 6pm with weekend hours. The manager may be needed during those hours but is expected to work between 8am to 6pm. Occasionally the manager may be needed to take calls on the weekend. TRAVEL Travel is primarily local during the business day between various Pediatrica locations. Although some out-of-area and overnight travel may be expected as the company grows into other regions.
