The purpose of this position is to supervise, direct, plan, coordinate, and perform a variety of clinic management and client communication duties to ensure quality pet care and to promote increased efficiency in the entire clinic. The Clinic Manager evaluates clinic tasks and builds protocols and procedures to increase their efficiency. The Clinic Manager also delegates tasks that can be handled by others to have enough time to perform management duties. These duties include special projects, the implementation of new ideas and procedures, and employee management (e.g., staff schedules, training, discipline, staff reviews, coaching).

- Delegates duties to each employee to ensure that daily tasks are accomplished.
- Recognizes non-routine or unusual situations and refers them to the Senior Director of Operations, along with recommended solutions.
- Administers progressive discipline fairly and impartially to employees, as warranted.
- Assists Senior Director of Operations in developing programs to improve the morale of the receptionist staff.
- Meets regularly with the Senior Director of Operations to discuss staff performance issues.
- Oversees the screening and assembly of veterinary records and files for active use, storage, or disposal in accordance with established records-control schedules.
- Directs on the job training and ensures everyone obtains a minimum of 40 hours per year.
- Helps to prepare employee evaluations with the Senior Director of Operations. Advises employees of performance requirements and their progress in meeting those requirements. Recommends corrective measures to improve performance.
- Explains the nature of and basis for hospital personnel policies and procedures to the Clinic Team and clients as necessary.
- Serves as liaison between staff and Senior Director of Operations.
- Coordinates hiring of new receptionists and technicians/assistants with Senior Director of Operations.
- Assists with emergency scheduling as needed.
- Makes informal recommendations to the Operations Director concerning personnel matters, such as staffing needs, advancement, re-assignment, work hours, and other status changes affecting the receptionists.
- Pays prompt attention to requests for meetings, repairs, and supplies.
- Works closely with managers of other departments and locations to ensure an understanding of the bigger picture and keeps lines of communication open.
- Take responsibility for making sure voicemails and emails are promptly addressed..
- Responsible for spay neuter paperwork and the medical spreadsheet.
- Courageously triage emergencies and get the pet to the right team member for treatment in order to drive LifeLine’s mission to_ save lives _.
- Unpack boxes in the hallway or make sure they get to the proper location.
- Managing the schedule to make sure appointments are always covered and called to confirm.
- Manages clinic supply inventory.
- Manages clinic sanitation.
- Ensures software entry accuracy.
- Works closely with pathways/adoptions teams to build strategic surgery and heartworm treatment schedules.
- Ensures clinic staff have adequate uniforms.
- Creates staff schedules and daily staff assignments that best meet operational needs.
- Learns clinic software and trains clinic staff.
- Manages care of X Ray badges.
- Displays exceptional stewardship by performing and overseeing the posting of daily transactions and hospital invoices, including emailing statements.
- Assists Director of operations to collect on past-due accounts.
- Ensures accurate clinic closeouts.
- Ensures invoices are closed out each day.
- Adheres to all hospital policies, standards, and procedures, including but not limited to uniforms, grooming, smoking, and personal calls, as stated in the hospital procedures manual.
- Serves as a representative of the hospital, displaying courtesy,_ compassion _, tact, consideration, and a positive attitude in all interactions with clients, patients, and other staff members.
- Demonstrates initiative in everyday duties by seeking other work during down times, assisting other employees, and filling in for other employees as needed.
- Adheres to the posted work schedule.
- Arrives for work promptly, begins work at the start time, and follows hospital policies for reporting lateness or absences.
- Clocks in and out with time clock at the beginning and end of each day and during breaks.
- Organizes work areas and exercises time-management skills to maximize personal efficiency.
- Prioritizes tasks and handles multiple tasks in a calm, organized manner.
- Ensure efficient operations and exceptional customer service to all visitors, while respecting, embracing, and celebrating the diversity of individuals.
- Help strengthen and build a community of animal welfare advocates by supporting and engaging the volunteers who aid the clinic teams.
- Continue education by participating in LifeLine’s 40-hour annual training requirement.
- Maintain a clean and tidy work area.
- Other tasks as assigned.
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Knowledge of general office practices and procedures, Client Care Specialist (receptionist) duties, and telephone techniques.
- Demonstrated ability to perform clerical work with speed and accuracy, use a multiple-line telephone system, and handle cash and other forms of payment.
- Experience assembling patient records, obtaining relevant information from clients, and accurately entering a variety of information in patient records.
- Ability to complete assigned tasks in the time allotted without direct supervision.
- Demonstrated ability to show empathy toward clients and treat animals with respect and compassion.
- Excellent interpersonal communication skills.
- A commitment to outstanding client service.
- Ability to lift objects weighing 40 pounds without assistance and objects weighing more than 40 pounds with assistance.
- Ability to stay on task and work energetically for the entire shift, sometimes exceeding 10 hours per day.
Preferred:
Knowledge of veterinary medical terminology and procedures and general computer skills.
Preferred:
Ability to type 45 words per minute.
- Ability to cope with the emotional impact of euthanasia.
- Must be able to work some nights and weekends based on shelter needs.
- Must pass a background check.
- Must have a means of travel that ensures prompt arrival for work shifts.
Education and/or
Experience:
Minimum of high school diploma or equivalent. Two or more years’ recent veterinary clinic experience, shelter medicine a plus. Two or more years’ recent supervising clinic staff including hiring, training and performance evaluation. Certification in euthanasia may be required. Valid, Georgia Drivers license may be required. [1] Registered/Licensed Veterinary Technician a plus.
Work Environment:
While performing the duties of this job, employee may be exposed to unpleasant kennel smells. May have to handle dogs and cats that are stray, injured, diseased or vicious. Do we need to keep these in here?
