We have a supportive caring team that has many members who have been with us for ten, fifteen, or even twenty years. We are here to serve our patients, and to serve one another. Our practice is growing and we are looking to hire an administrative manager to better support that growth. Our dental office does not contract with any insurance companies. To achieve this, our clinical and administrative teams must provide the very best customer experience. The administrative manager will have the responsibility of ensuring that every interaction with our patients meets that expectation. The administrative manager will lead and manage the administrative team, as well as work collaboratively with the office manager to track key performance indicators and make adjustments where necessary. The admin manager will work to increase overall administrative efficiency as well as effective patient communications, scheduling, and collections. We are seeking someone who is smart, can work well with others, manage many tasks at once while smiling!
Responsibilities:
- Greet patients warmly, ensure a welcoming, professional front-desk environment, manage and support patient check-in and check-out processes efficiently and accurately.
- Directly supervise/manage and support the front desk team to ensure they provide high-quality patient care. This will include hosting regular staff meetings for the front desk team in conjunction with the office manager and creating and maintaining front desk protocols for phone etiquette, greetings, data entry, and conflict resolution.
- Ensure all patient facing protocols such as referrals, scheduling, financial discussions, confirmations, insurance eligibility checks, payments etc. are implemented and maintained for the best patient experience.
- Ensure that all office supplies are ordered and maintained within the target budget.
- Assist in the implementation and monitoring of new front desk initiatives.
- Respond to patient inquiries by phone, email, or in person with prompt, courteous communication, and resolve patient concerns or complaints with empathy in coordination with the office manager or doctors when necessary.
- Ensure appointments are correctly flagged for insurance eligibility, required paperwork, pre-treatment authorization, and prior records. Perform basic benefit checks as needed.
- Oversee collection and organization of required forms (new patient paperwork, consents, HIPAA, financial agreements).
- Ensure secure handling of patient records in compliance with HIPAA regulations.
- Communicate financial responsibility estimates with patients before appointments when needed.
- Act as a liaison between the front office and clinical team to ensure smooth patient flow.
- Ensure the reception area is clean, organized, and appropriately stocked.
- Monitor patient wait times and update patients with delays or changes.
- Participating in morning huddles to review patient lists and daily, weekly and monthly goals.
