The YMCA of Greater Boston’s Education & Training Center provides high-quality, integrated adult education and workforce development services to immigrant, unemployed, and underemployed adult learners across Greater Boston. YGB’s Medical Office Employment Program is a 10-week job training program that prepares trainees for administrative assistant careers with our employer partners: Boston Medical Center, Boston Children’s Hospital, and Mass General Hospital. YGB’s Education & Training Center seeks a dynamic, team-oriented, and highly organized Program Manager to oversee and lead the day-to-day operations and deliver direct instruction to trainees in its Medical Office Employment Program. The Program Manager will be the lead person responsible for effectively delivery 4 training cycles per year for at least 12 trainees per cycle. This individual will play a key role in program design, implementation, and delivery, while directly supporting trainees as they work toward developing and achieving their career goals. Key Responsibilities Program Design & Administration Develop and refine program curriculum to ensure relevance and effectiveness. Oversee the setup of office spaces and classrooms for the program(s). Maintain accurate records and ensure confidentiality of participant data. Manage and coordinate the activities of contractors, volunteers, interns, partners, and other instructors. Contribute to grant reports, providing necessary program data and updates. Assist the director in developing and managing program budgets. Create and maintain engaging communications and social media content for the program(s). Intake & Admissions Collaborate with the intake team to assess applicants and ensure they meet program eligibility criteria. Conduct interviews with potential participants, offering feedback on suitability and assisting in trainee selection. Instruction & Advising Deliver direct instruction for topics such as medical administration, HIPAA, OSHA, patient intake, medical insurance, billing and coding basics, and medical terminology. Curriculum provided and can be customized. Develop and deliver group and 1:1 training sessions and simulations. Evaluate participant assignments and track progress in program’s database. Partner with Career Services to create individual career plans for trainees. Coordinate with employer partners to place trainees in full-time positions and provide support throughout the experience. Provide career advising for trainees, including guidance and job placements Cover other programming activities as needed within the Center. Relationship Management Collaborate to cultivate and manage relationships with key stakeholders, including trainees, staff, mentors, volunteers, employers, and funders. Use employer feedback to refine the curriculum and improve trainee placement outcomes. Contribute to program operations and events to ensure the overall success of trainee placements and program effectiveness.
Skills, Knowledge & Expertise Qualifications:
Proven experience with adult education or workforce development programs Strong organizational, communication, and time management skills, with the ability to manage multiple stakeholders and priorities. Ability to build and maintain relationships with diverse stakeholders. Experience in curriculum design and delivery. Knowledge of medical administrative skills and career coaching is a plus.
