Minimum Qualifications:
- High school diploma or equivalent required; associate degree or higher preferred
- Minimum of 5 years of experience in a healthcare-related setting, with dental or orthodontic clinic management strongly preferred
- Proven experience in team supervision and administrative leadership
- Familiarity with general dentistry, orthodontics, and oral hygiene education is a plus
- Proficient in dental practice management software (e.
g., Dolphin) Computer literacy, including experience with
Microsoft Office Suite Knowledge, Skills, and Abilities:

Essential Job Functions:
Administrative Oversight
- Efficiently address the needs of patients and doctors while ensuring the delivery of high-quality dental care in compliance with company policies, healthcare regulations, and dental board standards.
- Oversee all front-office systems, including patient intake, screening, scheduling, care coordination, billing, and financial counseling, to facilitate smooth patient flow and service efficiency.
- Maintain clear communication with the COO, HR, doctors, and staff to align operations and address concerns promptly.
- Manage office opening and closing procedures, prepare morning huddle agendas, and promptly monitor and respond to online reviews and customer feedback.
- Collaborate with the Marketing Coordinator on the site’s marketing initiatives by overseeing Marketing Ambassadors, referral outreach, and community engagement to support service growth.
- Safeguard patient records in compliance with HIPAA regulations and ensure that all administrative practices meet OSHA and relevant regulatory standards.
- Analyze and report on operational metrics to identify performance trends and implement improvements. – Maintain accurate patient data and ensure the secure handling of documentation.
- Supervise the use and administration of dental/orthodontic software systems, including patient charting, radiography, and billing modules.
Staff Management:
- Ensure the consistent delivery of high-quality dental care through effective leadership and team development.
- Collaborate with Human Resources on employee lifecycle activities, including hiring, training, performance evaluations, and terminations.
- Oversee the recruitment, hiring, and onboarding of staff to meet operational needs, ensuring that all new hires—both internal and external—receive proper training and are equipped for their roles.
- Manage and mentor staff in performance, professional development, cross-training, and customer service to optimize team productivity and service quality.
- Identify skill gaps and implement targeted training programs for Team Leaders and support staff.
- Oversee staff scheduling, paid time off (PTO), and timecard management using payroll software, while ensuring adequate coverage and adherence to operational standards.
- Foster strong working relationships with team members, providers, and the broader dental/orthodontic community.
Financial Management:
- Oversee and manage the site’s budget to ensure financial health and profitability.
- Handle daily accounting tasks, including end-of-day (EOD) reconciliation, invoice processing, expense tracking, and supply ordering, ensuring accurate financial records and cost control.
Inventory and Supplies:
- Manage the procurement of supplies and equipment, ensuring timely purchases, cost efficiency, and alignment with operational needs.
- Maintain an accurate inventory of dental/orthodontic materials and equipment, coordinating routine cleaning, maintenance, repairs, and inspections to ensure safety, functionality, and regulatory compliance.
Facility Maintenance:
- Ensure the overall appearance, cleanliness, and functionality of the practice.
- Oversee facility and equipment maintenance in accordance with hygiene, safety, and OSHA regulations. Scheduling
- Manage and regularly review staff and provider schedules to support operational efficiency and maintain productivity targets.
