Job Summary An Office Manager is a highly engaged leader thatpossesses a high level of acuity in business acumen and is focusedon developing a patient-focused team that is goal oriented. AnOffice Manager will achieve a world class Total Patient Experiencethat both maximizes the retail sales but also supports the patientsmedical needs. Responsible for the overall sales and profitabilityof an office location. Manage all operations of the location toinclude team member support, merchandising, inventory management,training and safety. Execute Total Patient Experience (TPE) todrive revenue and profitability. Exercise independent judgment anddiscretion in managing overall performance of the entire retailoperation. A Licensed Office Manager will possess a State OpticiansLicense for states where required by the company.
SECTION 2
Dutiesand Responsibilities Direct and execute the overall sales andprofitability of an individual office location through theeffective execution of Total Patient Experience (TPE). Develop andmaintain a good working relationship with doctor/doctors associatedwith office location and serve as liaison between doctor and officeteam. Develop maximum productivity through team member training anddevelopment, proper scheduling, and overall office efficiency.
Human Resource Management:
Recruitment, selection, training,coaching, and development of team members to include coaching ofKPI scorecard results. Conduct performance reviews and compensationevaluations for the office team. Enforce all corporate policies andprocedures. Responsible for all aspects of supervision. Implement,manage and reinforce TPE in an effort to enhance the customerexperience.
This includes:
prompt greetings, professionalism,selling standards to include the Quality inspections. Exercisejudgment and utilize tools to achieve revenue and EBITDA growth.
Provide guidance and coaching on optical equipment, proper medicalchart handling, insurance and billing, frame and contact lensselection, policies and procedures, and computer software. Motivateteam members by remaining positive and communicating any changes ornews in a supportive and constructive way. Maintain facility tocorporate standards including building, equipment, parking lot andgrounds as well as safety rules, HIPPA & OSHA requirements,hazardous material handling and waste disposal. Monitor and enforceCompany cash handling policies and procedures to include petty cashas outlined by Accounting, and submit required financial documentsaccurately and on schedule. Execute day-to-day operations of theoffice by ensuring the following is completed: Team memberscheduling, weekly meetings, report generation, inventoryassessment, supply ordering, and team member training. Adhere toall safety policies and procedures in performing job duties andresponsibilities while supporting a culture of high quality andgreat customer service. Performs other duties that may be necessaryor in the best interest of the organization.
