General Summary
Shore Physicians Group is seeking a highly skilled and motivated Centralized Scheduling & Specialty Services Manager to oversee the daily operations of multiple specialty locations and our centralized scheduling department. This role is responsible for ensuring exceptional customer service, operational efficiency, and compliance with healthcare regulations in a fast-paced environment.
Responsibilities
Including but not limited to the following:
Serves as a liaison between the administrative team and practice sites.
Assists in the interview, hiring, and on-boarding process.
Assists in the development and implementation of policies, procedures, and strategic goals for the organization.
Assists the administrative team with projects including operational planning and financial performance and analysis.
Participates and monitors ordering activities in medical practices to meet or exceed budgetary expectations.
Responsible for ensuring proper employee performance management, office space and equipment maintenance.
Works with Medical Office Supervisor and/or Lead on developing, monitoring and improving operational processes that supports optimal patient care and maximizing opportunities to meet and exceed budget expectations.
Implements and ensures adherence to organizational processes and workflows that support optimal patient care in a multidisciplinary setting.
Ensures staff are informed of and comply with written policies and procedures.
Holds staff accountable for adherence to policies and processes; follows organizational progressive disciplinary actions as appropriate.
Effectively communicate pertinent organizational information to Medical Office Supervisor or Lead to be used in daily staff huddles to facilitate organizational and practice communication.
Ensures appropriate staff coverage optimizing facility occupancy to create an ideal patient and customer experience.
Monitors staff scheduling determining appropriate staffing levels based upon office volume and budgetary requirements.
Ensures accurate and timely submission of payroll.
Oversight of inventory management and appropriate ordering and par levels of supplies in the practice.
The Manager assists in the development, implementation and adherence to organizational processes and workflows that supports optimal patient care in a multidisciplinary setting.
Supports organizational goals by providing quality customer service, participating in performance improvement efforts and demonstrating a commitment to team work and cooperation.
Acts as a role model for the staff.
Promotes and fosters team work.
Responsible for staff performance appraisal process.
Other duties as needed.
Qualifications
Bachelor’s Degree in healthcare management, business administration or other related field (preferred).
Previous specialty (Endocrinology, Neurology, Rheumatology) experience in a multiple physician practice setting.
Proven experience managing a medical office or healthcare-related call center.
In-depth knowledge of healthcare regulations and patient privacy standards (HIPAA).
Strong leadership and interpersonal skills with the ability to motivate and guide a team.
Excellent communication and problem-solving skills.
Ability to analyze and improve call center performance metrics.
Working knowledge of Microsoft Office Applications, including Word, Excel, and PowerPoint.
Knowledge of medical terminology, practice revenue cycle, medical insurance, and medical practice services and routines.
Additional Skills
Conflict resolution and de-escalation techniques.
Strong attention to detail and organizational skills.
Ability to work under pressure and manage multiple tasks simultaneously.
Preferences
EMR Experience, Athena preferred.
Salary Range – $25.07 – $33.78 hourly
