This position requires someone who can seamlessly manage both clinical and administrative operations in a specialized medical environment. The ideal candidate will have experience in oncology or hematology practices and be comfortable assisting with specialized procedures.
Key Responsibilities Clinical Support Bone Marrow Biopsy Assistance :
Assist physician with bone marrow biopsy procedure setup, including room preparation, equipment sterilization, patient positioning, and post-procedure care
Treatment Room Preparation :
Prepare examination and treatment rooms, ensuring all equipment is sterile, properly maintained, and readily available for procedures
Clinical Procedure Support :
Assist physicians with exams, treatments, and specialized hematology/oncology procedures as needed
Administrative Operations Patient Communications :
Manage patient phone calls, appointment scheduling, treatment coordination, and follow-up communications
Medical Records Management :
Obtain, organize, and maintain patient records, ensuring all necessary documentation is available for treatments and procedures
Insurance & Authorization :
Coordinate insurance authorizations for treatments, procedures, and medications specific to hematology/oncology care
Schedule Coordination :
Manage physician schedules, coordinate with hospital systems for procedures, and communicate schedule changes to patients and staff
Office Operations :
Oversee general office functions including filing, correspondence, chart preparation, and reception duties
Compliance & Safety Infection Control :
Maintain strict adherence to infection control protocols, particularly important in immunocompromised patient populations
Hazardous Material Handling :
Follow safety protocols for handling chemotherapy agents and other hazardous materials
HIPAA Compliance :
Ensure all patient information is handled in accordance with privacy regulations
Quality Assurance :
Maintain compliance with oncology-specific quality standards and regulatory requirements Qualifications & Requirements Education & Experience High school diploma or equivalent required Minimum 1-3 years of experience as an Office Manager in a medical setting Experience in hematology, oncology, or specialized medical practice strongly preferred Previous experience with bone marrow biopsies and oncology procedures highly desirable Certifications & Skills Medical Assistant certification preferred CPR/BLS certification required or must obtain within 90 days of hire Proficiency in electronic health records (EHR) systems Knowledge of medical terminology, particularly hematology and oncology Strong organizational and multitasking abilities Excellent communication and interpersonal skills Attention to detail and ability to work in fast-paced environment Technical Requirements Computer proficiency including Microsoft Office Suite Familiarity with insurance authorization processes Knowledge of laboratory procedures and specimen handling Physical Demands & Work Environment Ability to stand, walk, and move throughout the office for extended periods Manual dexterity required for handling medical equipment and specimens Ability to lift up to 25 pounds Fine motor skills necessary for precise clinical tasks Exposure to infectious diseases and biohazardous materials Potential exposure to chemotherapy agents and other hazardous substances Emotionally demanding environment working with cancer patients Moderate noise level from medical equipment and patient interactions Reasonable accommodations may be made for individuals with disabilities
