(UCI) provides non-medical management and administrative services to over 50 Doctors Care urgent care centers and 20 Progressive Physical Therapy facilities located throughout South Carolina and Tennessee. UCI is headquartered in Columbia, South Carolina. Doctors Care has operated for 30 years treating patients for treatment of outpatient acute, episodic and some minor chronic medical problems. The centers are open evenings and weekends. Centers are staffed by licensed physicians; physician assistants; nurse practitioners; licensed nurses, certified medical assistants, laboratory technicians, registered radiographic technologists; and administrative support staff. The position reports to the Regional Operations Director.
Job Summary:
The Center Manager ensures a safe, efficient, cost-effective and high-quality patient care environment. The Manager recruits, hires and oversees orientation/training and personnel management for all clinical and clerical staff within the center. Administrative and operational responsibilities include all aspects of financial performance, maximizing patient flow and optimizing the work environment to facilitate open communications, professional and quality excellence and a positive patient experience.
Key Responsibilities:
1. Manages all administrative and operational functions associated with assigned center(s) to ensure a smooth and efficient operation. Oversight responsibility includes inventory control, personnel management, patient relations, and patient flow.
2. Develops and implements office procedures as necessary to improve office flow and overall operations. Provides recommendations and follow-up actions to operational inefficiencies.
3. Participates in the development of center goals and objectives.
4. Ensures high degree of patient and client satisfactions.
5. Manages the daily operations of the center(s) including staff scheduling, cash reconciliation, charge entry, and other related operational “checks and balances.”
6. Works with the billing department to ensure accounts receivable is optimally liquidated, denials are minimized, refunds are issued, and customer service is exemplified.
7. Interviews, hires, trains, supervises and evaluates center staff. Responsible for optimizing staffing resources, scheduling staff, assigning work, as well as ensuring consistent performance remediation actions, where and when applicable.
8. Works to ensure that the center(s) stays within budget parameters. Prepares reports and statistical summaries for the Regional Operations Director and Corporate entities as requested. Provides monthly reporting recommendations or action plans on any issues.
9. Ensures center compliance where applicable to include
OSHA, CLIA, UCA
(Urgent Care Association), FLSA, HIPAA, DHEC, SCLLR (South Carolina Department of Labor, Licensing and Regulation) as well as payor regulations & compliance.
10. Oversees daily office operations and delegates authority to assigned staff.
11. Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary. Ensures that the office is staffed appropriately.
12. Helps staff establish deadlines for work assignments and completion. Monitors work status and progress.
13. Assists staff in understanding/implementing clinic/clerical policies and procedures.
14. Reviews, codes, and returns invoices to accounting immediately upon receipt.
15. Ensures compliance with UCI/Doctors Care/Progressive Physical Therapy core values of CARE (Customer Service, Accountability, Respect & Excellence) related to treatment of patients, employees and other visitors.
16. Manages inventory and par levels; approves, processes and manages order requests and inventory procedures.
17. Displays and exhibits the ability to analyze and assess staff skill set and center needs and processes to initiate changes to improve work flow, efficiencies and center performance.

1. Patient Service Representatives (PSR) at assigned center(s)
2. Nursing Staff (RN, LPN) at assigned center(s)
3. Medical Assistants at assigned center(s)
4. X-ray Technicians at assigned center(s)
5. Patient Care Technicians at assigned center(s)
Minimum Qualifications:
1. Bachelor’s degree or equivalent management/work experience is required.
2. 1 to 3 years in an urgent care, physician center or related medical setting with a minimum of 1 year in a supervisory or lead capacity or successful completion of a 1-year healthcare-related fellowship or residency program
3. 2 years experience with center management/billing experience
4. Excellent communication skills and demonstrated organizational skills
5. Strong interpersonal skills
6. Ability to work towards specific goals and objectives and provide recommendations for improvement
7. Ability to effectively supervise and evaluate the performance of direct reports
8. Knowledge of computers applications such as word processing and spreadsheet applications
9. Experience with electronic medical records (EMR)
10. Familiarity with current medical terminology, ICD and CPT coding centers
11. Familiarity with financial reports and key performance indicators (KPIs)
12. Ability to maintain an insurable driving record
Preferred Qualifications:
1. Certified Medical Assistant, Registered Medical Assistant, EMT certification OR internal MA I training
2. Familiar with EHR/EMR platforms
3. Ability to organize and prioritize work for timely completion. 4. Effective communication skills, both verbally and written.
