Boca Raton, FL Position Summary As a Medical Records Specialist at our Boca Raton-based home health agency, you play a vital role in supporting quality patient care from behind the scenes. Your work ensures that critical medical documentation is accurate, timely, and compliant—directly contributing to the success of our clinical team and the well-being of the patients we serve. You’ll be the go-to expert for organizing, maintaining, and safeguarding essential medical records, helping our agency run smoothly and efficiently. Qualifications High school diploma or equivalent required At least 1 year of experience performing general office duties (healthcare experience preferred) Proficiency in using computers, document management software, and office applications Exceptional organizational skills with strong attention to detail Ability to manage time effectively and prioritize tasks in a fast-paced environment Strong written and verbal communication skills Ability to work independently and collaboratively as part of a team English fluency required Physical and Mental Requirements Ability to work under pressure and meet deadlines Must be able to sit, stand, walk, lift, bend, reach, pull, grasp, talk, hear, and see for extended periods Must be able to travel locally to agency-sponsored meetings or programs as needed Reasonable accommodations will be made for qualified individuals with disabilities Essential Duties and Responsibilities Maintain professional conduct and adhere to agency ethics and policies Ensure confidentiality of all client information and agency records Accurately scan and upload documentation into the agency’s software system Process and track medical documentation including: Physician orders Face-to-Face documentation Notices of Medicare Non-Coverage Service agreements Assemble and manage Start of Care (SOC) packets and maintain adequate stock levels Update the PPS unbilled report daily and distribute to Liaisons, Administrator, Billing, and President Update and send the Face-to-Face report twice weekly to key stakeholders Retrieve and prepare hard copy medical records for approved requests Complete all assigned electronic medical record tasks in the software system Comply with all internal agency procedures and documentation standards Participate in staff meetings and training sessions as requested Support agency performance improvement efforts and perform other duties as assigned
