Medical Services Operations Manager 2.8 2.8 out of 5 stars Land O’ Lakes, FL 34639 • Hybrid work The Medical Services Operations Manager (MSOM) is a key member of the Medical Services department, reporting to the Chief Medical Officer. This role involves coordination of the department’s clinical and administrative needs to provide efficiency and oversight.
EDUCATION AND QUALIFICATIONS
High school diploma required. Some college or vocational experience preferred Minimum of 3 years’ experience in operations or practice management Knowledge of healthcare compliance regulations and provider credentialing is a plus Strong proficiency in scheduling software and electronic medical records (EMR) systems
ESSENTIAL JOB RESPONSIBILITIES
Develop, coordinate, and maintain provider visit schedules to ensure optimal patient care and efficiency. Create and manage call schedules for physicians and nurse practitioners, ensuring appropriate coverage at all times. Adjust schedules as necessary to accommodate provider availability, patient needs, and unforeseen changes. Coordinate coverage plans for nurse practitioners and other clinical staff during planned and unplanned absences. Provide scheduled updates to Clinical Care Managers and APRNs regarding upcoming recertifications and dates eligible for regulatory visits. Monitor hospitalized patients to ensure IDG discussions and recertifications are completed to ensure compliance. Coordinate with Patient Access and Finance for approval and scheduling of Palliative Care patients Assist with medication refills Obtain medical records and referral documentation Provide direct administrative support to the Chief Medical Officer, including managing calendars, correspondence, and documentation. Assign electronic death certificates to appropriate providers and facilitate completion of amendments Prepare reports, presentations, and meeting materials as needed for department operations. Assist with data entry, record-keeping, and maintenance of provider credentialing and compliance documentation. Maintain confidentiality of sensitive medical and operational information Develop and implement policies and procedures to improve efficiency in scheduling and provider management Ensure compliance with healthcare regulations, accreditation standards, and internal policies Collaborate with IT and administrative teams to optimize scheduling software and operational workflows Monitor and analyze operational metrics to identify areas for improvement Serve as the primary liaison between providers, administrative staff, and department leadership Facilitate communication regarding schedule changes, policy updates, and operational issues Complete and submit documents to Accounts Payable for payment Work closely with HR and recruitment teams to on-board new providers and integrate them into schedules efficiently Assist with credentialing activities Other duties as determined by the Chief Medical Officer Experience Required Three years experience in operations or practice management Education Required High School/GED or better Skills Preferred Proficient in Electronic Medical Records Equal Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
