This position ensures the delivery of superior patient care, adhering to the clinic’s commitment to quality.
Essential Functions and Responsibilities:
Meet with prospective surgery patients, providing detailed surgical quotes, and assist in their decision-making process for procedures and treatments. Efficiently schedule surgeries, coordinating with office staff, physicians, patients, and surgery centers, and ensuring all necessary records are provided to the surgery center. Respond to patient inquiries promptly, fostering strong relationships and rapport with each patient. Regularly follow up with potential patients to encourage the consideration of future services and generate additional patient encounters. Address patient concerns and offer appropriate solutions within the practice, ensuring quality customer service. Conduct thorough consultations with patients to assess goals, provide education, and set realistic expectations regarding treatment outcomes. Maintain regular contact with patients to ensure satisfaction with services and promptly address any concerns that arise. Assist patients in making informed and confident decisions regarding surgical treatments and procedures. Obtain prior authorizations for surgeries as necessary after verifying insurance information. Consistently perform daily tasks and general duties, meeting deadlines as required. Assist with answering phone calls and scheduling patient appointments. Regularly attend and actively participate in assigned meetings. Coordinate additional logistics for upcoming surgeries, such as booking hotels, sitters, and hair technicians. Adhere to and implement the organization’s mission, policies, protocols, and procedures consistently. Support compliance and accreditation efforts, including those related to OSHA and HIPAA. Perform additional duties as assigned.
Experience Required:
A minimum of one year of experience in a medical office or as a surgical scheduler, or in a related role. Experience in patient services or customer service (such as concierge roles in restaurants, hotels, or retail) is a plus. Sales experience is preferred.
Education Required:
High school diploma or GED equivalent required. CNA, CMA, or completion of a Medical Assisting program preferred.
Physical Requirements:
Occasionally lift or carry items weighing up to 25 pounds. Ability to perform tasks requiring full range of body motion. Ability to stand and walk for extended periods. Normal vision and hearing range required.
Other Skills and Attributes:
Professionalism and strong interpersonal skills are essential. A high level of trust, diplomacy, courtesy, and tact is required. Excellent verbal and written communication skills across a wide range of patient ages, with the ability to make a strong first impression. Strong multitasking and time-management skills with the ability to prioritize effectively. Ability to establish and maintain positive relationships with external contacts. Teamwork and openness to supporting company initiatives.
