The ideal candidate will possess exceptional customer service skills, strong organizational abilities, and a proactive attitude. As a Front Desk Receptionist/Intake Specialist, you will play a crucial role in ensuring smooth operations at our front desk while providing outstanding support to both clients and staff.
Key Responsibilities:
Reception Duties:
Greet clients and visitors with a positive, helpful attitude. Answer and direct incoming calls in a courteous and professional manner. Knowledgeable with multi-line phone system Schedule appointments and manage the firm’s calendar. Maintain a clean and organized reception area. Handle incoming and outgoing mail deliveries
Client Intake:
Conduct initial client intake interviews in person and over the phone. Collect and verify personal and case-related information with discretion and sensitivity. Input client data into case management software accurately. Follow-up on incomplete or missing documentation. Ensure confidentiality and compliance with legal and ethical standards Typing skills is required
Administrative Support:
Prepare and manage correspondence, reports, and other documents as needed. Assist attorneys and staff with administrative tasks and client follow-ups. Maintain filing systems, both physical and electronic. Support case tracking and documentation processes.
Qualifications:
High school diploma or equivalent required; associate degree or higher preferred. 1+ year of experience in a legal office or similar environment strongly preferred; not required. Familiarity with administrative tasks and office procedures. Proficiency in Microsoft Office and legal case management software (e.g., Clio, MyCase, or similar) is a plus. Strong organizational skills with the ability to multitask effectively. Typing skills required. Excellent verbal and written communication skills to interact professionally with clients and staff. Ability to handle sensitive information with discretion and professionalism. Bilingual (especially Spanish-speaking) a plus. We are a small growing Law Firm!
