Position Overview We are seeking a professional, Spanish Speaking Front Desk Administrator to serve as the welcoming face of our practice. This position combines administrative excellence with sales-oriented patient engagement to ensure optimal patient experience while supporting our clinic’s growth objectives. The ideal candidate will have strong customer service skills, phone sales experience, and the ability to effectively communicate our comprehensive care approach to prospective and current patients.

Key Responsibilities Front Desk Operations:
  • Greet patients warmly and professionally upon arrival
  • Answer multi-line phone system and direct calls appropriately
  • Schedule appointments for consultations, treatments, and diagnostic testing
  • Manage daily appointment calendar and coordinate with clinical staff
  • Check patients in/out and collect co-payments and fees
  • Maintain organized front desk area and patient waiting room
Administrative Duties:
  • Verify insurance coverage and process prior authorizations
  • Update patient demographics and insurance information
  • Scan and file medical documents and correspondence
  • Prepare daily schedules and treatment notes for providers
  • Maintain patient confidentiality per HIPAA requirements
  • Handle patient billing inquiries and payment arrangements
Sales & Patient Engagement:
  • Convert incoming inquiry calls into scheduled consultations
  • Present treatment options and explain our advanced technology benefits
  • Follow up with potential patients who haven’t scheduled appointments
  • Support patient retention through excellent service and communication
  • Identify opportunities to introduce additional services to existing patients
  • Assist with insurance benefit explanations and treatment plan discussions
Spanish Support:
  • Provide full administrative and customer service support in both English and Spanish
  • Translate for patients during check-in/check-out processes
  • Assist Spanish-speaking patients with forms and treatment explanations
  • Support clinical staff with patient communication needs
Required Qualifications Essential Requirements:
  • fluency in English and Spanish (verbal and written)
  • Minimum 2+ years of front desk experience in healthcare setting
  • Customer service background with phone sales or marketing experience
  • Strong organizational and multitasking abilities
  • Proficiency with computer systems and electronic health records
  • High school diploma or equivalent required
Preferred Qualifications:
  • Experience in chiropractic, physical therapy, or personal injury clinics
  • Knowledge of medical terminology and insurance processes
  • Previous experience with appointment scheduling systems
  • Administrative or office management experience
  • Understanding of HIPAA regulations and patient privacy
