Welcoming the patient as well as undertaking all receptionist and clerical duties at the main entrance of the clinic, it is critical to be upbeat, professional, and organized. This position requires multi-tasking and excellent communication skills, knowledge of punctuation and vocabulary, and confidence communicating in person, over the phone, email and text. Essential Functions A. Maintain a clean, organized, and presentable workspace/front office area. B. Complete the opening/closing tasks of the clinic daily. Including printing and preparing all front desk paperwork. C. Update Financial and Transaction Reports daily. D. Greet patients and visitors in a courteous and professional manner, including comforting patient’s anxieties in a calm and warm approach. E. Check patients in upon arrival, prepare proper forms, record and collect payments, and communicate succinctly to relay information to staff and providers to ensure a smooth and positive patient experience. F. Master a basic understanding of each service offering and the ability to articulate surgical and non-surgical treatment protocols, benefits, features, and limitations. G. Check patients out at the conclusion of their appointment, schedule their next appointment, and update EMR system. H. Assist patients with required patient forms. I. Verify patient demographics, contact information, referral source etc. J. Collect surgery deposits. K. Maintain accurate and up-to-date electronic patient medical records in EMR. L. Surgical documentation and clinical scanning (ensuring all paperwork being scanned is signed). M. Answer office email, calls, and messages promptly and professionally. Return all missed calls. Screen all calls for Providers and Practice Manager. N. Schedules, reschedules, confirms, and cancel patient appointments. O. Input leads and new patients into our CRM, assigning them to a surgical consultant. P. Create estimates, invoices, and packages for patients. Q. Manage provider schedules efficiently and accurately. R. Gather patient satisfaction/reviews, send review links to patients. S. Promote skincare treatments and products to patients T. Package product purchases for patients, and occasionally mailing sending to patient if necessary. U. Process shipments of skin care products by verifying counts of each product; adding them to the inventory system and storing product into the appropriate location in the stock closet. V. Assist in planning and working special events. W. Attend office training sessions. X. Assist team members as needed. Y. Perform other tasks and duties as assigned. Behavioral Competencies A. Ability to follow established office routines and policies. Qualifications A. High School diploma or equivalent required. B. Minimum of 1 years’ experience as a receptionist or relevant position required, medical field experience preferred. C. Prior experience with scheduling software, EMR and Microsoft Office products preferred. D. Strong interpersonal skills and ability to effectively communicate with all levels of the organization required. E. Excellent verbal communication and phone etiquette. F. Effective written communication skills, including email, text, and social media posts. G. Exceptional teamwork and a positive and team orientated attitude required. H.
