Full Job Description Job Summary:
As a Medical Office Front Desk Receptionist, you will serve as the initial point of contact for patients, visitors, and staff entering the medical office. You will be responsible for providing exceptional customer service, managing administrative tasks, and ensuring efficient operations at the front desk. The ideal candidate will possess strong communication skills, attention to detail, and the ability to multitask in a fast-paced medical environment. We desire English AND Spanish Speaking Applicants.
Key Responsibilities:
Greet patients and visitors in a courteous and professional manner upon arrival at the medical office. Answer phone calls, schedule appointments, and manage the appointment calendar using electronic scheduling software. Verify patient information and insurance coverage, collect co-payments, and process patient registration forms accurately. Coordinate patient referrals to specialists, diagnostic tests, and medical services as directed by healthcare providers. Maintain cleanliness and organization at the front desk area, including sanitizing surfaces and arranging reading materials. Handle patient inquiries, requests, and complaints promptly and effectively, escalating complex issues to the appropriate staff members. Assist with medical records management, including filing, scanning, and retrieving patient documents in compliance with HIPAA regulations. Collaborate with medical staff, nurses, and physicians to ensure seamless patient flow and optimize office efficiency. Monitor and replenish office supplies, including forms, stationery, and patient education materials. Follow established protocols for patient confidentiality, privacy, and security of sensitive information. Participate in staff meetings, training sessions, and continuing education opportunities to enhance job knowledge and skills. Perform other clerical duties and administrative tasks as assigned by the office manager or supervisor.
Qualifications:
High school diploma or equivalent; additional certification in medical office administration is a plus. Previous experience in a medical office or healthcare setting preferred. Proficiency in using electronic health record (EHR) systems and medical office software. Strong interpersonal skills and the ability to communicate effectively with patients, colleagues, and external contacts. Excellent organizational skills and attention to detail in managing paperwork, appointments, and administrative tasks. Ability to prioritize tasks, work independently, and handle multiple responsibilities simultaneously. Knowledge of medical terminology, insurance billing procedures, and healthcare regulations. Demonstrated customer service experience with a positive attitude and a commitment to patient satisfaction. Flexibility to adapt to changing priorities and work schedules in a dynamic medical environment.
