POSITION SUMMARY

The Medical Office Receptionist is responsible for providing exceptional customer service for all patients and visitors entering our office. The responsibilities of this role include greeting patients, completing the sign in process, scheduling future appointments, confirming patient eligibility, and handling incoming phone calls. They will assist patients in accordance with the training they have received ensuring patients receive the best possible service at Caridad Center.

DUTIES & RESPONSIBILITIES
  • Greets all patients in medical reception area.
  • Answer incoming phone calls, takes messages, and direct calls to appropriate parties.
  • Handles clinic inquires and patient questions.
  • Schedules patient appointments and enters patient information into the EMR system.
  • Performs patient intake and checkout procedures.
  • Coordinates telehealth doctor appointment visits.
  • Confirms, reschedules, and cancels patient appointments.
  • Maintains medical records filing and reception area in a neat and orderly manner.
  • Maintains the security, confidentiality, completeness, and accuracy of the medical records.
  • Meets regularly with Supervisor to address clinic needs.
  • Assists in processing of eligibility applications, as needed.
  • Reviews patient records for up-to-date eligibility requirements and ensures appropriate physician referral forms have been completed.
  • Scans paper charts to electronic medical record.
  • Works in support of and in cooperation with other staff, board members, and volunteers.
  • Requests optional donations from patients at each clinic visit.
  • Uses the eligibility application form and other demographic data provided to initiate the electronic medical record for each new patient.
  • Creates and monitors patient waiting list.
  • Punctually attend staff meetings.
  • Interprets patient complaints as clearly as possible for attending physicians as needed.
  • Serves as a translator of patients and physicians.
  • Interprets physicians’ instructions to patients regarding follow-up care, appointments, medications instructions, etc., as needed.
  • Other duties as assigned.
QUALIFICATIONS
  • Minimum high school diploma or equivalent required.
  • Trilingual (Creole/Spanish/English) Required
  • Excellent computer skills.
  • Ability to adapt in a fast pace environment.
  • Excellent organizational and time management skills.
  • 2+ years of clerical or customer service experience.
