You will be responsible for providing exceptional customer service to make sure the highest quality work standards are achieved and maintained according to practice policies and procedures. The administrative team lead will also handle customer calls by answering questions, finding solutions to issues, scheduling, answering concerns or complaints and providing important information. It is important for the team leader to possess superior customer service skills and professionalism, to be able to multi-task, and be conscientious and compassionate to clients and staff. They must be highly motivated while working as part of a cohesive team in a fast-paced environment. They are also expected to protect sensitive information, always comply with HIPAA, and be able to maintain composure and professionalism during stressful situations.
Key Responsibilities:
Answer phones and take patient calls and provide professional, accurate, satisfactory answers to their questions and concerns Guide patients through navigating MYIO portal and troubleshooting for telehealth appointments, if needed Call insurances for prior authorization and copay information Assist providers with administrative tasks, such as support for new initiatives, treatment modalities, visit types, etc… Answer general questions about the practice and services provided Answer internal communication questions Schedule client appointments Collaborate with other team members and locations to provide excellent customer service Support internal referral and transfer of care workflows Support Psych Assessment Director with administrative program responsibilities – screening clients, providing paperwork, scheduling, prior authorizations, accepting payments Managing USPS mail and bank deposits Provide overall prescriber and site support in conjunction with PCSCs (front office coordinators) Must maintain a professional dress code at all times Float to support PCSCs at clinics when short-staffed Manage office supply orders Work with and support Clinical Directors and RDO with new initiatives and rollouts Help to train new employees and orient new staff Ensure all office processes and policies are being followed Works closely with RDO on overall site management throughout the practice Other duties as assigned
Qualifications:
High school diploma or equivalent Excellent communication skills (written and verbal) and ability to work well with a team, especially in stressful situations Exhibit patient and empathetic attitude Adaptability and flexibility are musts Strong time management and organizational skills Tech-savvy with ability to troubleshoot computer and software-related issues Phone skills, including familiarity with complex or multi-line phone systems Maintain patient confidence and protect operations by keeping patient care information confidential Creating a safe, productive work environment that is patient-focused Possess desire to do a thorough job in a fast-paced environment, must be detail-oriented Ability to maintain professional appearance and demeanor and interface well with patients and teammates in a mental health setting Ability to complete other office tasks as needed Customer service skills Experience in a medical office or medical call center (preferred) Experience verifying insurance, obtaining pre-authorizations, and scheduling for multiple providers (preferred) Familiarity with HIPAA regulations (preferred) Experience with EMR (electronic medical records) and medical terminology (preferred) Experience working with patients who are suffering from anxiety and depression is preferred Exceptional interpersonal, rapport building, and active listening skills (preferred) Explore the
