Administration Reports to: Office Manager SUMMARY The Administrative Support Staff are the faces of the agency. Your tone, demeanor and behavior represent the professionalism of the office. You shall maintain the flow of communication within the office setting to include direct care clients, office environment and equipment utilized within the office.
DUTIES AND RESPONSIBILITIES
The Administrative Office support will ensure the following: Phones are answered in an appropriate manner every time. Clients will be treated with the up most respect and treated highly valued. Check the answer machine to follow up on all calls. In put appointments in ICANotes and the calendar daily. Ensure that all therapists are notified of appointments. Will be able to pass a test provided by the owner related to the Records Management Manual and other functionalities of the job to include intake packet. Greet everyone that enters the building. Complete intake packets appropriately Gather insurance information and question changes to insurance at every appointment. Collect copays from clients. Document copay payments in ICAN. Ensure all records are stored safely and securely daily Will ensure to maintain confidentiality of all client’s names and situations when communicating in the office (this offense could cause immediate termination). Clean the office daily to include, sweeping, moping, changing trash in all offices. Report any request for records to the Medical Records Director. Maintain confidentiality of all clients outside the office (regardless of your relationship to them).

EDUCATION AND EXPERIENCE
Minimum requirement: High School Diploma, able to read and write. Must be able to follow instructions of others and accept positive criticism of work appropriately.
LANGUAGE SKILLS
Employees must have the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Employees must also have the ability to write reports, business correspondence, and procedure manuals. Employees must have the ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
