Job Description

Administrative Support Associate C-Line Community Outreach Services Jersey City, NJ 07304 C-Line Community Outreach Services is a compassionate and client-centered treatment facility dedicated to providing high-quality substance abuse and mental health counseling services. We serve individuals and families navigating recovery and emotional wellness by offering a range of outpatient and supportive services. We are currently seeking a detail-oriented, professional, and empathetic Administrative Support Associate to join our team and support our mission of healing and hope.

Position Summary:

The Administrative Support Associate plays a vital role in ensuring the smooth day-to-day operations of our treatment facility. This team member is often the first point of contact for clients and visitors and provides essential administrative, clerical, and scheduling support to both clinical staff and management.

Key Responsibilities:

Greet clients and visitors in a warm, respectful, and professional manner Answer phones, manage voicemails, and route calls/messages to appropriate staff Schedule client appointments and maintain clinician calendars Manage and maintain accurate client records, intake forms, and documentation in the electronic health record (EHR) system Assist with client check-in and check-out procedures, including verifying insurance and collecting co-pays when applicable Responsible for collecting urine samples from clients in accordance with established protocols and confidentiality standards. Support billing and insurance verification processes as needed Maintain office supplies, forms, and general cleanliness of front office areas Ensure client confidentiality and HIPAA compliance at all times Assist with general office duties including scanning, faxing, data entry, and filing Provide support for staff meetings, events, and special projects as assigned

Qualifications:

High school diploma or GED required; Associate’s or Bachelor’s degree preferred Minimum 2 years of administrative experience; 1+ year in a supervisory or lead role required Experience in behavioral health, medical office, or substance abuse treatment setting is a plus Strong organizational, communication, and multitasking skills Proficient in Microsoft Office Suite and client management systems (e.g., Zoobook, KIPU, or similar) Ability to maintain professionalism and confidentiality in a sensitive environment Ability to manage multiple tasks with attention to detail and accuracy Professional demeanor and a compassionate, non-judgmental attitude toward clients Flexibility to work according to business needs, including rotating Saturday morning shifts.

Preferred:

Experience working in a healthcare, behavioral health, or substance use treatment setting Familiarity with HIPAA and patient confidentiality standards Bilingual (Spanish/English) is a plus but not required
