Front Desk Receptionist – Ophthalmology Practice 2.5 2.5 out of 5 stars 777 Passaic Avenue, Clifton, NJ 07012 Position Summary The Front Desk Receptionist is the first point of contact for patients and plays a critical role in creating a warm, professional, and efficient experience. This role involves managing check-in and check-out procedures, verifying insurance, collecting payments, and supporting the administrative operations of a busy ophthalmology practice. The ideal candidate is organized, friendly, proactive, and able to thrive in a fast-paced clinical environment. Key ResponsibilitiesPatient Interaction & Front Desk Duties Greet and welcome patients courteously and professionally. Check-in patients by verifying demographics, insurance information, and appointments in the EHR system. Collect co-pays, deductibles, and outstanding balances; provide financial explanations and receipts. Check-out patients, schedule follow-up visits, and provide patient instructions. Maintain a clean, organized, and welcoming reception and waiting area. Scheduling & Communication Accurately schedule appointments, tests, and procedures according to policy. Complete full patient registration with attention to detail and quality. Answer multi-line phone system, respond to inquiries, and route calls appropriately. Relay patient messages to clinical staff promptly and accurately. Administrative & Financial Tasks Reconcile payments and prepare end-of-day financial reports. Assist with prior authorizations and insurance verifications as needed. Maintain up-to-date and accurate patient records and ophthalmology-specific documentation. Train and support new front desk or patient services staff. Ensure compliance with HIPAA regulations and all company policies. Ophthalmology-Specific Duties Provide basic information to patients about ophthalmology procedures (e.g., dilation, post-op care). Assist in verifying vision and medical insurance benefits related to eye care. Reorder ophthalmic patient materials and office supplies as needed. Coordinate patient education materials with clinical staff. Professional Expectations & Additional Duties Advise patients of financial obligations and collect payments per practice guidelines. Serve as a liaison between patients, providers, and staff to facilitate seamless care. Identify and assist in resolving workflow challenges and patient service concerns. Deliver excellent customer service with empathy, professionalism, and attention to detail. Maintain confidentiality and demonstrate sensitivity in high-stress situations. Demonstrate strong communication skills; bilingual in English/Spanish is a plus. Exhibit sound critical thinking, problem-solving, and multitasking abilities. Work independently and collaboratively in a high-volume, fast-paced environment. Travel occasionally between practice locations (Clifton and Short Hills). Participate in meetings, quality initiatives, and support other administrative tasks as needed. Other Duties as Assigned Provide coverage for other administrative staff when necessary. Support special projects, community outreach, and patient engagement efforts. Attend ongoing training and contribute to continuous improvement initiatives. Required Skills & Qualifications High school diploma or equivalent required. 1+ year experience in a medical or ophthalmology office preferred. Proficient with EHR and practice management software (experience with Nextech preferred). Knowledge of medical and vision insurance billing processes. Strong verbal and written communication skills. Professional appearance and demeanor. Adhere to uniform policy Ability to handle confidential information with discretion. Physical Requirements Ability to sit, stand, and walk for prolonged periods. Occasionally lift light materials or supplies. Perform basic tidying and organization of front office area as needed.

$19.00 – $23.00 per hour Expected hours: 40 per week
