We are seeking a warm, energetic, and highly organized Front Desk Receptionist to be the face and voice of our pediatric practice. The ideal candidate is not only passionate about providing exceptional patient service but also thrives in a fast-paced, child-friendly environment. This role is critical in creating a positive first impression for families and ensuring smooth day-to-day operations. Panorama Pediatric Group is a large, yet intimate medical practice comprised of 9 physicians and 7 nurse practitioners/physician assistants providing compassionate, comprehensive healthcare in collaboration with our patients. Our practice gives patients a quality experience in a warm, personal and professional setting. Our office is located in beautiful Penfield/Rochester border, convenient to 490. We are seeking a mature “people person” with warmth and charm, someone who is poised and confident.
Essential Job Functions:
Remain in a stationary position at the front desk for extended periods. Remain in a stationary position at the front desk for extended periods. Greet patients and families with a welcoming, professional and friendly demeanor, ensuring a child-friendly atmosphere. Schedule and confirm appointments, managing schedule for multiple providers. Operate and answer a multi-line phone system, answering promptly and professionally, providing accurate information or routing calls as needed. Check in/out patients, verify insurance details, and ensure all necessary forms are completed. Maintain patient records accurately and confidentially using the practice’s electronic medical record (EMR) system. Collect co-pays and process billing transactions, including handling credit card and cash payments. Handle billing inquiries or direct them to the appropriate department. Communicate clearly and compassionately with patients, parents, and staff. Coordinate referrals and prior authorizations with insurance providers as needed. Assist with basic triage by asking relevant intake questions and directing urgent concerns to clinical staff. Keep the waiting area tidy and stocked. Collaborate with nurses and doctors to ensure smooth patient flow throughout the day. Respect and maintain confidentiality of all patient and practice information.

Participate in departmental and Practice-wide staff meetings and other training in-service as assigned. Skills and Abilities:
Ability to manage a number of concurrent tasks using strong organizational focus to prioritize and resource independently. Ability to adapt to changing schedules and assignments based on the needs of the practice. Analytical and problem-solving skills. Skilled in typing and navigating the computer. Skill of persistence is needed when necessary. Ability to examine documents for accuracy and completeness. Ability to read, understand and follow oral and written instruction. Ability to communicate effectively and work well with others. Knowledge of medical terminology. Proficiency in grammar, spelling, and punctuation. Must be able to detect and respond to patient needs and safety concerns.
Knowledge:
Medical Terminology, Microsoft Office, Medent-preferred Education and Experience:
High school diploma or equivalent (Associate’s degree preferred). 1-2 years of experience in a medical office, preferably in pediatrics or family practice. Proficiency in EMR systems and basic computer software (Microsoft Office Suite). Excellent communication and interpersonal skills—especially with children and parents. Ability to multitask and prioritize in a dynamic clinical environment. Professional appearance and demeanor. Knowledge of medical terminology and health insurance processes is a plus.
Physical Requirements:
This role operates in a professional medical office environment. Frequently operates standard office equipment such as computers, phones, and printers. Occasionally moves objects up to 20 pounds. Must be able to remain in a stationary position for up to 85% of the workday. Occasionally traverses the office to support administrative tasks. Ability to sit for extended periods of time. Move about the office to communicate with others and access printers and supplies. Manual dexterity for using an adding machine/calculator and computer keyboard. Ability to stoop and bend. Ability to read data on the computer monitor and written documents.
