Full Job Description Job Overview:

We are seeking a friendly, organized, and professional bilingual Medical Receptionist to join our team at MBR Charleston, a clinical research site dedicated to conducting cutting-edge medical studies. The receptionist will be the first point of contact for patients, study participants, visitors, and staff. This individual will be responsible for ensuring smooth daily operations of the site, providing administrative support, and assisting with various tasks that facilitate the success of our clinical research activities.

Key Responsibilities:
Front Desk Management:

Greet and assist visitors, patients, and study participants in a warm and professional manner. Maintain sign in logs for all visitors and clients Answer and direct phone calls to appropriate staff or departments. Schedule appointments and follow up with patients or participants as needed. Maintain and update patient/participant schedules and records. Ensure the waiting area is neat and organized.

Administrative Support:

Perform general office duties such as filing, faxing, and data entry. Assist with handling patient forms, including obtaining signatures for consent forms and other documentation. Coordinate communication between patients/participants and the clinical research team. Help with managing patient follow-up calls, reminders, and participant recruitment efforts.

Clinical Research Assistance:

Provide support to clinical research coordinators and investigators as needed. Prepare and organize study materials, documents, and equipment. Assist in the preparation and distribution of patient education materials and study information. Maintain confidentiality and comply with HIPAA and other privacy regulations.

Site Maintenance:

Ensure that office supplies and clinic materials are stocked and organized. Assist in maintaining the cleanliness and safety of the clinic’s reception area.

Qualifications:

High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration, business, or related field preferred.

Must have qualification:

Bilingual Previous experience in a receptionist or administrative support role, preferably in a healthcare or clinical research setting. Strong communication and interpersonal skills with a focus on patient and customer service. Strong phone skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment. Ability to multitask and handle a fast-paced environment. Attention to detail and strong organizational skills. Ability to maintain confidentiality and adhere to ethical standards and regulations. Knowledge of clinical research procedures or willingness to learn is a plus. Additional Skills (Preferred): Familiarity with Clinical Trial Management Systems (CTMS). Experience in scheduling and managing appointments for clinical trials or medical procedures. Bilingual language skills (English/Spanish, or other languages) must have.

Working Conditions:

Full-time Monday through Friday, with occasional evening or weekend hours depending on the needs of the site. On-the-job training will be provided for clinical research procedures and regulations.
