Key Responsibilities:
Processing Birth Certificates:

Accurately process and file birth certificates, ensuring all necessary information is correctly recorded.

Clerical Duties:

Handle patient files, schedule appointments, and maintain records with precision and confidentiality.

Patient Interaction:

Admit visitors to the unit, assist them upon arrival, and field phone calls, providing excellent customer service.

Coordination:

Collaborate with other departments to coordinate care services efficiently.

Supply Management:

Manage office and medical supplies for the department, ensuring timely replenishment.

Completing Work Orders:

Process and complete work orders promptly to maintain smooth operations.

Assigning Mobile Heartbeat Phones:

Assign and manage mobile heartbeat phones for staff, ensuring effective communication.

Patient Coordination:

Efficiently manage patient admissions, discharges, and transfers, ensuring all paperwork is accurately completed and filed.

Communication Hub:

Act as the primary point of contact for patients, families, and healthcare providers, facilitating clear and timely communication.

Scheduling:

Coordinate and schedule patient appointments, surgeries, and follow-up visits, ensuring optimal use of department resources.

Record Management:

Maintain and update patient records accurately, ensuring confidentiality and compliance with healthcare regulations.

Supply Chain Management:

Monitor and manage inventory of medical and office supplies, placing orders as needed to ensure the unit is well-stocked.

Billing and Insurance:

Handle billing processes, verify insurance information, and assist patients with payment inquiries.

Technical Support:

Provide basic technical support for medical equipment and office systems, troubleshooting issues as they arise.

Environment Maintenance:

Ensure the labor and delivery unit is clean, organized, and free of clutter, adhering to safety and hygiene standards.

Team Collaboration:

Work closely with nurses, doctors, and other healthcare professionals to support patient care and departmental operations.

Emergency Response:

Assist in emergency situations by providing necessary clerical support and ensuring swift communication and coordination.
Preferred Qualifications
Notary Public or willing to become one in the first few months of the birth certificate process
Labor and Delivery experience or acute care experience
Prior healthcare administrative experience
Knowledge of medical terminology
Experience with electronic medical records, EPIC especially Professionalism
Exceptional reliability
Great communication skills
Strong teamwork skills
Significant emotional intelligence for the patient population
Flexible availability for scheduling

KEY RESPONSIBILITIES
  • Delivery of clinical practice utilizing standards of practice and in accordance with the hospital’s mission & vision.
  • Ability to work under limited supervision and to follow written and oral instructions.
  • Knowledge of biopsychosocial and spiritual aspects of human behavior ranging from infancy to geriatrics.
  • Familiar with organization and function of all units.
  • Ability to demonstrate effective communications skills, empathy, and unconditional positive regard toward all patients and co-workers.
  • Compliance with organizational requirements, including policies, procedures and regulations specific to the unit.
  • Mechanism must be provided for contact of employee (i.e., beeper, telephone, emergency contact).
  • Flexibility in schedule in order to meet the needs of the patients, community and staff.
  • Demonstrates professional behavior with a positive outlook during peak periods of activity and other stressful situations.
  • Knowledge and implementation of standardized PPE regarding the prevention / transmission of infectious disease / isolation processes.
  • Maintains licensure, required certification and annual education requirements prior to due date.
  • Answer telephones in appropriate manner.
  • Establish and maintain filing systems.
  • Input data into computer.
  • Maintain logs.
  • Schedule appointments, pt or physician/consults.
  • Ability to fax, scan and copy.
  • Consistently provides accurate and complete hand-off communication to any healthcare provider according to hospital policy.
  • Attends 80% of all department meetings and required to review and initial all department minutes missed.
  • Other duties as assigned.

Maintain Notary certification.
