Position Summary The Medical Receptionist plays a key role in providing a warm, welcoming, and efficient front office experience for young patients and their families. This position is responsible for managing all aspects of patient intake and flow, coordinating appointments, verifying insurance, and supporting the overall operations of a pediatric clinic. The ideal candidate will possess excellent communication skills, patience, and compassion when working with children and caregivers, along with the ability to multitask in a fast-paced environment. Essential Duties and Responsibilities ( Other duties may be assigned ) Arrive at least 10 minutes prior to opening to prepare the front office for patient arrivals. Greet patients and families warmly; ensure proper check-in and sign-in procedures are followed. Collect and verify patient demographics, insurance information, and eligibility for services. Accurately enter new patient data into the system and update existing records as needed. Provide parents/guardians with necessary forms; ensure completion and obtain required signatures. Collect co-pays and process payments; follow clinic policies for cash handling and reporting. Answer phone calls promptly; address parent inquiries or direct calls to appropriate staff. Schedule and confirm appointments, including well-child visits, immunizations, and sick visits. Coordinate urgent appointment needs with clinical staff to ensure timely care. Assist with patient check-out, including collecting outstanding balances and providing visit summaries. Communicate with the billing department or other healthcare facilities on behalf of families as needed. Maintain and update pediatrician schedules, including vaccine clinic days and specialist visits. Ensure a clean, organized, and child-friendly front desk and reception area. Place phone system in appropriate mode (day/night) at opening and closing. Uphold HIPAA and patient confidentiality standards at all times. Secondary Responsibilities Monitor lobby cleanliness and maintain an inviting, child-safe environment. Order front office supplies and manage inventory levels. Assist in training new front desk staff members. Open and sort mail; process and route faxes and documents appropriately. Make appointment reminder calls and follow up on missed appointments. Track and follow up on lab results, diagnostic studies, and specialist referrals. Coordinate with pharmacies for prescription refills per physician instruction. Maintain communication with physicians regarding patient updates and urgent matters. Prepare encounter forms and patient paperwork for the following day. Review and file documents for scanning and electronic records. Adhere to clinic’s customer service standards and quality protocols. Support physicians and clinical staff with administrative tasks as needed. Qualifications High school diploma or equivalent required; medical office certification preferred. Prior experience in a pediatric or family practice setting strongly preferred. Familiarity with pediatric immunization schedules and child health procedures is a plus. Strong communication skills with the ability to interact compassionately with children and caregivers. Proficiency in medical office software and Microsoft Office Suite. Ability to multitask and remain calm under pressure. Dependable attendance and punctuality are essential. Work Environment & Physical Requirements Pediatric clinical office setting with frequent interaction with children and families. Prolonged periods of sitting, computer use, and speaking on the phone.
