Job Summary :

The Behavioral Health Administrative Assistant (BHAA) is responsible for creating a friendly and welcoming atmosphere whether in person or on the phone. They will complete administrative duties associated with client appointments, manage incoming calls and messages, and complete other duties such as chart management, billing support, data entry, and assisting the behavioral health team in administrative responsibilities. N/A Essential Duties & Responsibilities Demonstrate a commitment to the mission and vision statements of Mercy Health Services. Treat clients and staff with respect and exhibit sensitivity to the cultural backgrounds and needs of the clients served. Complete screener phone calls to assess client mental and behavioral health needs, level of care, and desired counseling and/or psychiatric services. This may involve creating new client charts and checking the client’s insurance. Manage counselor templates and schedules by counting the daily and weekly opening slots, scheduling and rescheduling clients, transferring clients between providers when necessary, and so on. Support behavioral health leadership with HR and administrative tasks as deemed appropriate by the Behavioral Health Director, such as keeping relevant forms and files (i.e. DCS reports, manage F and S drives), ordering supplies, and the like. Provide administrative support to the Behavioral Health Consultant Coordinator, Liaison for Court and Addiction Services, and the Lewisburg Clinic Coordinator, including correspondence, setting up meetings, and other services as needed. Support behavioral health counseling staff by scheduling meetings, maintaining copies of frequently used documents, checking and updating insurance credentialing, providing general professional support, and other tasks as assigned. Assist new hires with onboarding, including creating orientation schedules, answering questions about EMR usage, providing technological assistance, and so on. Build and maintain effective relationships with community-based service providers and community groups to exchange information, resolve concerns/complaints, and develop and maximize available resources. Work closely with Care Coordination to identify resources and programs in the community to make appropriate referrals. Attend huddles and other scheduled meetings to take minutes and provide support, including with A/V equipment and other technologies. Actively participate in monthly supervision with the Behavioral Health Director and other management staff. Assess behavioral health grants, school grants, and therapist performance by researching and entering data, creating reports (including reports for area dashboards), and the like. Assist quality control with peer audits. Provide support to behavioral health staff and clients for departmental events and seminars, including client registration, material preparation, collection of funds, and administrative support leading up to and on the day of the event. Monitor client treatment engagement through running reports to determine clients who have been inactive for 30 days and send appropriate letters that the provider recommends. Serve as the point person for all outside audits, including preparing reports and correspondence. Prepare department wide calendars for huddle, devotions, kitchen, room schedules, PCIT, group, and vacation. Manage all fire drills, emergency lights, fire extinguishers, and all other documentation for state Licensure. Other duties assigned by the supervisor as needed.

Minimum Qualifications:
Education :

Minimum of a bachelor’s degree in psychology, counseling, social work (or a related field).

Experience :

(Preferred) Individuals have first-hand knowledge of behavioral health condition or substance abuse issue, whether they received treatment or medication or identify as a family member of someone in recovery.

The position includes risk of exposure to communicable diseases; therefore, the clinician must receive training n and then practice in universal health precautions.
