Surgical Coordinator II Team Lead – Must have CPC Certification 3.3 3.3 out of 5 stars 580 West 8th Street, Jacksonville, FL 32209 Job Duties Under the supervision of the Department Director, Ambulatory Administrator, or Office Manager, directs, coordinates and facilitates the surgical scheduling activities of all clinic physicians. Utilizes appropriate administrative, financial and operational policies and procedures to facilitate continuity of care for the surgical patient. Acts as liaison between the department and other surgical and financial areas. Leads all activities of the surgical coordinators and surgical scheduling in the department, working toward the common goals and mission of the department. Essential Functions Provides oversight of the daily surgical scheduling for the department including participating in hiring, staffing, training, coaching and providing feedback. Works closely with the Director/Office Manager in effective scheduling of surgeries and workflow to provide optimum coverage with available resources to meet department goals relating to production and quality. Supports the work of the manager by answering inquiries, providing information and resolving complaints from patients or other internal or external departments as it relates to surgical scheduling. Reviews authorization requirements to assure compliance with health plans. Provides a standard of excellence as it relates to customer services for patients, staff and other customers. Participates as an active care team member in the coordination of patient care. Ensures compliance of regulatory and organizational policies and procedures and recommends changes in department policies and procedures as identified. Prepares reports as requested, educates staff members and physicians in new processes, policies and procedures. Utilizes the internal surgical scheduling EPIC application and external scheduling processes Attends and actively listens and participates in the scheduled Surgical Coordinator training sessions and meetings, as well as institutional meetings pertaining to surgical scheduling, hospital and outpatient. Supports the objectives and goals of the surgical scheduling team by functioning as a surgical coordinator Temperament Must be able to perform under stress when confronted with emergency, critical, or unusual situations. Must be capable of dealing with periodic cyclical workload pressures and levels of responsibility. Required to make independent judgments without supervision. Must be able to make generalizations, evaluations, or decisions based on sensory or judgmental criteria. Must have the adaptability to perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure. Requires the ability to work with people beyond giving and receiving instructions. Skills, Knowledge, Abilities Working knowledge of HMOs, Medicare, Medicaid, PPO and third party payers. Demonstrated ability to be fair minded and objective. Ability to organize and prioritize assignments to work independently as well as a collaborative team member. Ability to provide dynamic customer service using various techniques including positive language, calming presence, attentiveness, clear communication, and patience. Working knowledge of patient billing including CPT4 and ICD-10 coding, medical terminology and various payer classes. Ability to communicate effectively and courteously, both orally and in writing. Basic computer literacy and arithmetic skills. Thorough knowledge of clinic support functions including but not limited to registration, scheduling, and insurance coordination of benefits, venipuncture, and specimen collection and processing. Experience Requirements 2 years Experience working as a surgical scheduler in an ambulatory setting required 2 years Thorough knowledge of insurance, to include HMO’s, Medicare, Medicaid, PPO, TriCare and all other third party payors required 2 years Thorough knowledge and understanding of HIPAA, Medical Necessity Software, Scheduling/Registration systems and insurance web portals required Education Requirements High School Diploma or GED required Certified Professional Coder (CPC) required at time of hire UFJPI is an
