The Front Office Team Leader is responsible for providing leadership and direction for front office and medical records personnel and for the management of daily operations of the department.

Day-to-day filing and retrieving medical records and patient information and maintaining privacy guidelines associated with HIPAA regulations. Collecting and recording co-pays (cash and/or charge), including balancing the day in the computer, check-in, check-out. Management of daily scanning of documents into the patient medical records. Timely and accurate scanning into the correct patient’s chart. Ensuring information on scanned documents is redacted based on HIPAA guidelines. Activating insurance patient portals in a timely manner, as per practice guidelines. Providing supervision of front office employees and call center to as it relates to general support, escalated patients, and diffusion of corresponding situation. Correction of timecards for each employee and submittal of timecards prior to payroll. Submitting the daily reconciliation/close from the satellite office to the billing/front office supervisor. Ensuring that staff is properly trained on existing and newly introduced office policies and protocols. Ensuring that clinic flow is concurrent with patient satisfaction and provider schedule templates. Ensuring cohesive teamwork with back office clinic, front office, and providers. Timely and effective communication with the Administrator and other personnel of satellite offices that affect clinic operations and improve performance outcomes. To qualify for this job you must have: High school diploma or equivalent. Two or more years of experience in a medical office setting. Previous supervision in a lead front office role. Experience using an EHR system. We’d also love it if you have: General knowledge of health care terminology. Highly effective communication skills. Ability to disseminate information in a timely manner. Time management, problem solving, multitasking, organizing, and prioritizing skills. Understanding and following written and oral instruction. Work independently with little supervision. Maintain confidentiality of sensitive information. Complete work in a timely, accurate, and thorough manner. Communicate effectively verbally both in person and on the phone and in writing, with patients and other individuals inside and outside the practice. Exhibit a professional manner in dealing with others and work to maintain constructive working relationships.

Physical requirements and work environment:

Sitting for approximately 80% percent of the day. Walking, standing, bending, reaching, and stooping on a daily basis. Requires some lifting and moving up to 25 pounds. Fine motor skills. Visual acuity.
