Surgical Coordinator Orthopedic Center of Palm Beach County 180 John F Kennedy Dr, Atlantis, FL 33462 We are seeking a detail-oriented, organized, and compassionate Surgical Coordinator to join our team at the Orthopedic Center of Palm Beach County. The Surgical Coordinator plays a critical role in managing and coordinating all aspects of scheduling upcoming surgeries, including pre-operative and post-operative processes for surgical patients. This position ensures timely and accurate scheduling of surgeries, clear communication with patients and clinical staff, and maintenance of all necessary documentation to support seamless surgical experiences. Schedules and coordinates patients’ surgical appointments at all facilities and non-surgical related diagnostic studies Verifies necessary information: demographics/insurance/ primary care physician, procedure, laterality and equipment/implants needed. Answers questions regarding patient’s surgical appointments and testing. Schedules patient’s procedure, pre-operative testing, medical clearance, DME (if needed) and post-operative appointments. Completes reservation form and provides to appropriate facility along with all necessary forms. Obtains pre-operative results from the primary care physician/hospital/diagnostic facility. Follow up in advance of patient’s surgical date to ensure completion of all lab, EKG and clearances results Review each chart/patient to ensure everything has been completed prior to surgery date (dental letter, clearance, PAT’s, lab results, precert is completed and consent is signed; ensure that the hospital has all information.
For urgent/add on cases:
schedules, obtains OR room and calls insurance to verify benefits and authorize admission. Document/scan all appropriate information into the EMR. Reviews physician’s assistants schedules weekly.
For any cancellations/rescheduled cases:
sends notification to facility, physician and physician’s assistant. Work with the physician to accommodate other patients to fill OR schedule. Answers telephone in an amiable and professional manner, answers any questions that are within the area of the position’s responsibility, forwards calls, or sends message to appropriate person if needed. Exemplifies the desired culture and philosophies of the organization. Completes all other duties as assigned. Qualifications High school diploma required; Bachelor’s Degree preferred Minimum 2 years of experience in a physician practice setting, preferably in surgical scheduling. Knowledge of medical terminology, surgical procedures, and health insurance processes Excellent interpersonal skills to be able to effectively relate with the public, patients, organizations, and other employees Detail-oriented with the ability to work under pressure and frequent interruptions from staff and patients without being distracted Work within a team environment Communicate effectively with staff, colleagues, patients, physicians, and insurers in person, over the telephone, and in writing Assist coworkers with surgical scheduling; effectively organize, prioritize, and schedule tasks to ensure practice timelines are met
