Administrative Coordinator, School of Arts and Humanities 3.5 3.5 out of 5 stars 11 Hills Beach Rd, Biddeford, ME 04005 The School of Arts and Humanities (SAH) in the College of Arts and Sciences (CAS) at the University of New England (UNE) is seeking a motivated individual with strong communication, organizational, and customer service skills to join our team as Administrative Coordinator. This position performs a wide variety of advanced administrative and organizational tasks supporting the operations of the school, and also serves as the primary contact with students, faculty, and professional staff from other academic and administrative units across the University. The ideal candidate must be detail orientated, have the ability to communicate with and maintain positive relationships with stakeholders, and balance complex priorities, deadlines, and projects that require the exercise of independent judgment while exercising tact, discretion, and professionalism. Review of applications will begin immediately and continue until the position is filled. Expected pay is $19.57 per hour (annualized to $40,706). Total compensation is $56,273 to $71,401, depending on which medical and dental plans are selected. For more information about our outstanding benefits, please visit: UNE Benefits Overview Responsibilities The Administrative Coordinator’s responsibilities include: Handling complex and confidential situations and requests. Independently coordinating multiple administrative tasks and projects within prescribed guidelines. Assisting in departmental budget planning, monitoring expenditures, and processing budget documents. Troubleshooting office administration problems and addressing all inquiries and requests related to department. Answering and transferring phone calls, screening when necessary. Welcoming and directing visitors and students. Maintaining filing systems as assigned. Retrieving information as requested from records, email, minutes, and other related documents; preparing written summaries of data when needed. Responding to and resolving administrative inquiries and questions. Coordinating and scheduling travel, meetings, and appointments for the school director, faculty, and invited guests. Preparing agenda and schedules for meetings. Recording and distributing minutes or other records for meetings. Maintaining office supplies and coordinating maintenance of office equipment. Maintaining a system for recording expenses. Performing other related duties as assigned. Qualifications Associates degree preferred, plus at least 2-3 year of relevant administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired. Excellent interpersonal communication skills with ability to interact with a diverse group of co-workers, staff and students. Intermediate experience in Microsoft Office Suite or related software. Excellent organizational skills and attention to detail. Ability to multitask. Basic understanding of clerical procedures and systems such as recordkeeping and filing. Ability to work independently.
