The Intake Specialist will play a crucial role in managing patient information, scheduling appointments, and ensuring a smooth intake process for new and returning patients. This position requires familiarity with medical terminology and medical administrative support, as well as proficiency in electronic health record systems. Duties Assists the Bridge Team Therapist with the Emergency Program and New Admissions. Serves as liaison with intake calls from community referral sources. Screens intake calls for basic admission criteria. Maintains information on community resources for clinical staff. Refers intake callers and clients to community resources. Maintains data and prepares reports regarding client’s discharged from a State Hospital. Responsible for clerical admission of new clients, including acquisition of demographic intake information and financial eligibility determination/verification. Provide back-up coverage for other administrative staff which may include other work-related tasks as needed and the following responsibilities: Manages staff appointment schedules, including scheduling client appointments, providing clients with appointment reminder notification, and responding to client inquiries regarding appointments. Manages administrative processing of approved requests for client information, including copying and mailing medical records. Performs clerical duties such as typing clinical record documentation and correspondence, word processing, photocopying, charting, posting, and filing. Performs data entry and retrieval tasks, including computerized recording and maintenance of client demographic and financial information. Answer phone calls, route calls, and transmit manual/voicemail messages. Transmit and deliver facsimile information submitted and/or received. Participates constructively in performance improvement/quality assurance activities, staff meetings, and in-service training. Provide back-up coverage for receptionist. Other duties as assigned Qualifications Education/Experience High School degree; BA degree in social work, counseling or psychology, preferred. Two year’s clerical office experience in a medical setting required; mental health outpatient experience preferred. Must possess data entry and Microsoft Word computer skills. Required Knowledge, Ability, and Skill Must possess knowledge of basic office practices, including but not limited to: skill in typing, filing, word processing, and the organization/prioritization of multiple tasks. Skilled in the use of personal computer, telephone, and office equipment. Ability to communicate and interact effectively and professionally with the staff, the general public, and the clients, especially the seriously mentally ill adults and/or the severely emotionally disturbed children.
