Role:
We are looking for an experienced Intake Coordinator/Specialist to join our team. You will be the point of contact for potential new clients contacting the law firm. This position requires a proven customer service background with outstanding communication skills. This is an in-office, full-time position.
Key Responsibilities:
Ability to manage a high volume of leads daily while maintaining a relationship with other current clients. The goal is to close the leads that are potential clients for the firm and to assist the ones that are not in finding the appropriate assistance they require. Responsible for tracking the status and all client documentation to ensure our cases are managed efficiently from start to finish. Obtain detailed information from new potential clients and route them appropriately. Oversee and manage the onboarding of new clients including conflict checks, creating engagement agreements, creating electronic files, opening matters in our practice management system, and handling communications with clients. Supervise current client files through data entry, document collection, and assigning the appropriate files to the correct legal team. Confirm practice management system information is updated for all clients. Oversee the smooth transition of new cases to the legal team. Learn and help manage the case management platform Oversee and nurture referral sources for all case types.
Key Requirements:
Excellent administrative skills such as data entry, creating and maintaining spreadsheets, and processing case files. Prior experience as a customer service or sales specialist with excellent ability to close a lead Punctuality Detail oriented Proficiency with Microsoft Office programs, including Word, Excel, Outlook Ability to learn new software programs Ability to effectively communicate Maintain pleasant telephone demeanor in fast-paced environments Spanish speaking is a bonus, but not required
