Job Summary The Referral Coordinator is responsible for managing all aspects of patient referrals, both inbound and outbound, to ensure a seamless and efficient process for patients and providers. This role requires excellent communication skills, a strong understanding of insurance requirements, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

Receive and process referrals from primary care physicians and other specialists. Verify patient demographic and insurance information. Obtain necessary medical records and imaging from referring providers. Schedule initial appointments for referred patients, ensuring appropriate provider and appointment type. Communicate with referring providers to confirm receipt of referral and appointment details. Coordinate referrals for patients needing to see other specialists (e.g., audiologists, neurologists, allergists, oncologists). Obtain necessary prior authorizations from insurance companies for referred services. Transmit patient medical records and relevant information to the receiving specialist. Track the status of outbound referrals and follow up as needed to ensure timely appointments. Communicate with patients regarding their referral appointments and any required preparations. Verify insurance benefits and eligibility for all referred services. Obtain pre-certifications and prior authorizations as required by insurance companies for consultations, procedures, and imaging. Maintain up-to-date knowledge of various insurance plans and their referral requirements. Address and resolve any insurance-related issues or denials pertaining to referrals. Serve as a primary point of contact for referring providers and patients regarding referral inquiries. Communicate effectively and professionally with patients, families, referring providers, and internal staff. Collaborate closely with physicians, and administrative staff to ensure coordinated patient care. Maintain strong working relationships with referring physician offices and other specialist practices. Maintain accurate and thorough documentation of all referral activities in the Electronic Health Record (EHR) system. Ensure all necessary referral forms, authorizations, and medical records are properly filed and accessible. Generate reports on referral volume and status as needed. Assist with other administrative tasks as assigned by the clinic manager. Adhere to all HIPAA regulations and maintain patient confidentiality. Performs any other related duties as assigned.

Requirements:
Skills/Abilities:

Strong understanding of medical insurance and authorization processes. Excellent organizational and multitasking abilities. Proficient in medical office software and electronic health records (EHR). Effective written and verbal communication skills. Problem-solving and analytical skills.

Education/Experience:

High school diploma or GED required; Associate’s or Bachelor’s degree in a related field preferred. Minimum of 2 years in a medical office setting, with experience in insurance verifications, authorizations, or billing.

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer. Prolonged periods of standing and bending. Must be able to lift up to 15 pounds at times.
