Admissions Coordinator Job Summary The Admissions Coordinator supports the admissions department’s activities in the pre-admission, admission, discharge, and follow-up processes Essential Job Functions Responsible for bed management, assigns beds according to the needs of the patient works closely with Liaisons for bed assignments Contacts insurance/payor source to verify coverage levels, responds promptly and accurately to telephone, written, and electronic inquiries from admission, providers, and in-house departments Maintains a deep understanding of Medicare, Medicaid, and all major insurance plans Verification of payor source, i.e., Medicare, managed Care, Medicaid, Insurance. Requires extensive amounts of time on the phone with insurance companies Responsible for identifying significant gaps in coverage and/or high co-pays or deductibles prior to admission Reviews and coordinates with Liaison on patient acceptance. Assist with arrangements and confirmation of all admissions. Tracks pre-admission referral activity daily. Ensures receipt of all necessary documentation from referring institution. Obtains authorizations/re-authorizations as needed Documents authorizations, denials, or status updates in appropriate systems Initiates and completes specified components of the facility admission packet with patient and/or responsible party. Completes reports, special projects and other duties as assigned Completes Medicaid application in collaboration with family Uploads clinical information in Point Click Care (PCC) Other duties as assigned, includes serving as backup for Concierge role Conducts tours of facility for prospective residents whether walk-ins or scheduled admissions. Contacts families of potential residents and invite for tour. Participates in on call responsibilities after hours Medicaid Specific Completes and submits agency required forms such as, 2515/2506 and 3008 Tracks and submits Medicaid recertifications Prints and reviews documentation to be submitted to CARES Routinely communicates with community partners such as DCF and CARES on member status Documents in GO and programmatic software
Job Requirements Education:
Two-year college or combination of education and experience
Experience:
At least two years’ experience in Health Care/ Business Development/ Insurance. Familiar with medical terminology. Excellent interpersonal, coordinating, and organizational skills. Demonstrated ability to manage multiple tasks at one time

N/A Abilities Required Ability to function in stressful situations Sensitivity and skill required in working with impaired elders and families by phone (if speaking with admission or families) Extensive knowledge of different types of payor coverages and policies. Exceptional organizational, time management, communication, and telephone skills. Bi-lingual (English/Spanish or Creole) a plus Proficient computer skills required Ability to think critically Problem solving skills in complex situation required Outstanding customer service skills Good communication skills
