The Lead Admissions Coordinator responds to incoming telephone inquiries, oversees subsequent communications, and actively coordinates multiple phases of the admissions process for clients seeking longer-term behavioral health services. Position ensures all clients receive concierge level customer service throughout the admission process. The Lead Admissions Coordinator supports leadership and admissions team members by assisting with training, coaching, and mentoring.
Relationships and Contacts:
Within the organization: Maintains frequent and close working relationships with Group Admissions Director, Admissions Coordinators, and team members throughout various levels of the organization.
Outside the organization:
May initiate and maintain professional relationships with clients, client family members, clinical providers, referral partners and vendors, as needed.
Essential Responsibilities:
Provides compassionate and professional guidance to individuals and referring professionals seeking longer-term behavioral health services. Reviews open inquiries to ensure active measures are being taken to bring viable inquiries to a successful close. Guides clients and families toward appropriate treatment options, effectively highlighting the benefits of treatment in relation to the client’s individual needs and circumstances; Obtains necessary information to quickly determine viability of potential admission, Resolves challenges posed by clients and families ambivalent about committing to necessary and beneficial treatment options, Empathically but prescriptively leading callers to the next step of deciding on admission, Determines the clinical and financial viability of potential admissions. Utilizes Salesforce CRM to record, monitor, and respond to admissions activities. Maintains active and ongoing communication among key admissions decision-makers and stakeholders. Assists in determining and explaining insurance financing options for qualified customers. Completes all necessary paperwork, record keeping, and reporting related to the admissions process. Facilitates logistics to assist with scheduling facility tours and admissions, as needed. Assigns incoming referrals, voicemails, and webforms appropriately and logs data into specific trackers. Provides training, coaching, mentoring and support to admissions coordinators. Assists with overseeing admissions processes for multiple facilities, as needed.
What We Are Seeking:
Position requires a bachelor’s degree or equivalent in combined education and experience, preferred master’s degree and minimum of two (2) years of behavioral healthcare admissions experience. Previous leadership experience preferred. Additional Requirements Clearance of criminal background, TB test, and any other mandatory state/federal requirements.
