Job Description
POSITION SUMMARY
Responsible for performing secretarial office functions in an assigned department, including greeting patients, answering phones and scheduling appointments.
QUALIFICATIONS
High School Diploma/GED. Less than 1 year medical office experience in a healthcare environment. Current CPR/BLS certification.
ADDITIONAL QUALIFICATIONS
- Working knowledge of secretarial procedures, organizational policies and procedures, systems and office management practices
- Knowledge of medical terminology, HIPAA compliance and basic clinical exam procedures
- Some knowledge of CPT and/or ICD-9 coding preferred
- Some knowledge of EMR
- preferably eClinicalWorks.
JOB RESPONSIBILITIESPerforms selected clerical and administrative duties and assists physicians as part of the care team.
Assists new patients to select a personal clinicianScans and updates patient E-charts prior to appointment with recent test results, images and correspondences.
Responds to patient communications and transfers calls or delivers complete messages to the appropriate individual.
Assembles E-charts for new patients and prepares E-charts for scheduled patients, requests patient information from outside sources as needed.
Check patients in and out, verifies insurance/benefit coverage 48 hours prior to services.
Collects co-pays and/or payment toward account balances before services are rendered.
Ensures that a new patient information sheet is filled out on all patients annually and that necessary information changes are made at each vis
- Maintains the computerized appointment schedule, schedules appointments and ensures patients receive appointment reminders, hospital procedures and/or surgeries following office protocol.
- Record information on logs, ledgers and deposits accurately and neatly, and copies logs and records as needed.
- Delivers incoming mail and/or packages to the proper person upon receipt, processes outgoing mail and distributes faxes.
- Participates in educational activities and programs as needed and required.
- Active participant in Medical Home Care Team including team huddles.
- Maintains office supplies/equipment and notifies supervisor directly of any problems.
- Maintains strict confidentiality, treats staff, physicians, patients and visitors with respect.
- Distributes patient surveys.
- Takes required training courses as identified by administration or direct supervisor.
- Performs other related work tasks or projects as required.
PHYSICAL/MENTAL DEMANDS
Requires prolong standing, walking, use of hand, fingers, handling of objects, stooping, kneeling, talking, etc.
Requires lifting up to 15 pounds.
Requires close vision, distance vision, peripheral vision, depth perception, and the ability to focus.
Requires versatility.
Requires ability to work under stressful conditions.
Requires ability to work under pressure with a diverse population, including staff, physicians, clients, patients, insurance companies and other members of the public.
Have hand-eye coordination and manual dexterity needed to operate a keyboard, photocopier, telephone, calculator and other office equipment.
Working conditions may result in exposure to communicable diseases and bodily fluids.
